Integrating a Knowledge Base with Voice AI Agents
Enhancing Voice AI Agents with a Knowledge Base
Connect your CRM's Voice AI agents to a knowledge base to provide them with a source of accurate, up-to-date information. When an agent receives a user query that matches a specific trigger you define, it will search the attached knowledge base to find and deliver the most relevant answer.
Key Benefits
- Targeted Responses: Assign a specific knowledge base to each agent, ensuring answers are relevant to its purpose, such as sales or support.
- Controlled Activation: Use custom trigger prompts to decide precisely when the agent should consult its knowledge base.
- Instant Updates: Any changes you make to the knowledge base content are reflected in agent responses immediately, with no extra setup required.
- Scalable Management: Easily maintain different knowledge bases for different agents or business functions.
How to Set Up the Integration
Step 1: Access Voice AI Agents
Navigate to the AI Agents section within your CRM and select the option for Voice AI.
Step 2: Select an Agent
You can either create a new Voice AI agent or edit an existing one. To edit an agent, locate it in your list and click the menu icon (typically three dots) next to its name, then select Edit.
Step 3: Configure Agent Goals
Inside the agent editor, click on the Agent Goals tab. Here, you will find an option to select a knowledge base.
- Use the Select knowledge base dropdown to choose from your existing knowledge bases.
- You can also click Create New to build a new knowledge base from this screen.
Step 4: Define the Trigger Prompt
In the field labeled When to use this knowledge base, write a clear instruction that tells the agent when to search for answers. This prompt should describe the types of user questions or topics that should activate the knowledge base lookup.
Example Prompt: "Consult this knowledge base if the caller asks about our business hours, service details, product specifications, or company contact information."
Step 5: Save Your Settings
Once you have selected a knowledge base and written your trigger prompt, click Save to finalize the integration.
Best Practices for Management
Organizing Multiple Knowledge Bases
For complex operations, create specialized knowledge bases (e.g., one for technical support, another for billing) and assign them to the appropriate agents. This keeps each agent's expertise focused and accurate.
Crafting Effective Triggers
Your trigger prompt is crucial. Use specific language that aligns with common customer inquiries. Test different phrasings and monitor your agent's logs to refine the prompt for the best results.
Maintaining Content
Regularly review and update the articles in your knowledge bases. Since updates are live immediately, this is the easiest way to ensure your agents always give correct information.
Monitoring Performance
Use the analytics and logs available for your Voice AI agents to see how often the knowledge base is triggered and whether the provided answers are satisfactory. This data can help you identify gaps in your knowledge base content or opportunities to improve your trigger prompts.
