Configuring Email and In-App Notifications for Services
Overview
The Services feature includes a built-in system for sending automatic email and in-app notifications to customers and team members during the service booking process. This system allows you to create tailored messages for specific booking events without needing to set up separate workflows. You can define who receives the alerts, customize the message content, and include specific details about the service.
What You Can Configure
Notification Triggers
You can set up notifications to be sent automatically when certain events occur for a service booking. The available triggers are:
- Appointment Booked (Unconfirmed): Sent when a customer books a service that has not yet been confirmed.
- Appointment Booked (Confirmed): Sent when a booking is either automatically confirmed or manually approved.
- Cancellation: Sent when a service booking is canceled.
- Reschedule: Sent when a booking is moved to a new date or time.
- Reminder: A pre-appointment message to help reduce no-shows.
- Follow-Up: A post-appointment message to engage the customer or request feedback.
Recipient Options
For each notification trigger, you can select who receives the message. The available recipient options are:
- The Contact: The customer who made the booking.
- The Assigned User: The staff member assigned to the service.
- Additional Email Addresses: Other internal team members, such as a front desk or manager.
Customizing the Message
An integrated editor allows you to customize the notification templates. You can:
- Modify the subject line and email body.
- Adjust the formatting and layout of the message.
- Choose from pre-built templates to get started quickly.
Including Service Details
You can insert specific details about the service directly into the notification. Available dynamic values include the service name, duration, price, any add-ons, and the details of the assigned staff member.
Smart Notification Handling
If a single booking contains multiple services, the system will consolidate the notifications. This means only one email is sent for the entire booking, preventing customers and team members from receiving multiple, repetitive messages.
How to Set Up Service Notifications
- Go to your CRM's main navigation and access Calendar Settings.
- Click on Services, then select Global Settings.
- Navigate to the Notifications section.
- Select the notification trigger you wish to configure (e.g., Appointment Booked).
- Customize the template using the editor.
- Choose the recipients for the notification.
- Insert any relevant service-specific custom values into the template.
- Click Save to apply your changes.
How It Works
Once configured, these notifications are sent automatically based on the service booking events you have selected. The same template is used consistently for all relevant bookings, and the smart consolidation feature automatically prevents duplicate messages for multi-service appointments. This system operates independently, so no workflow setup is required for these standard service communications.
Important Notes
This notification system is specifically for bookings made through the Services feature. It does not apply to standard calendar appointments. The feature to configure these notifications is currently available in a Private Beta release.
