Using the Appointment Modal to Manage Service Bookings
What is the Appointment Modal?
The appointment modal is a side panel that appears when you click on a service booking in your calendar. It provides a centralized place to view booking details and perform key actions like editing, duplicating, or blocking time, helping you manage your schedule efficiently.
Accessing the Appointment Modal
To open the appointment modal, navigate to Calendars and select either the Calendar View or the Appointment List View. Then, click on the Services tab. Clicking on any existing appointment will open its details in the side panel modal.
Editing Service Appointments
Editing Unpaid Appointments
For appointments that have not yet been paid, you can make changes directly from the modal. This allows you to handle adjustments quickly without canceling and rebooking. Click on the appointment, then click the pencil icon to open the editor. You can modify the service, add-ons, assigned staff, service variant, location, appointment title, date, time, timezone, or any applied coupon codes. Once you have made your changes, click Save.
Managing Paid Appointments
For appointments that have been paid, certain structural details like the service type or assigned staff are locked to protect the original booking. However, you can duplicate the appointment to create a new booking with the same details, which you can then edit as needed. The edit screen will clearly indicate which fields can and cannot be changed.
Duplicating an Appointment
To save time when creating a similar or repeat booking, use the duplicate function. From the appointment modal, click the Duplicate icon. This creates a new appointment with all the same details copied over, which you can then adjust before saving.
Creating Blocked Time Slots
You can mark periods of time as unavailable directly from your calendar view. Click the New Booking button, then change the Event Type to Blocked Slot. Select the date, time, a title for the block, and the relevant staff member. Finally, click the Block Time button to save the blocked slot.
Viewing Booked Resources
The appointment modal displays which resource (such as a staff member or piece of equipment) is booked for the appointment. This provides clarity and helps prevent double-booking or confusion over resource allocation.
Using Custom Values in Notifications
You can personalize automated notifications, like confirmations and reminders, by including specific details from the booking. Two available custom values are the Service Booking Price and the Meeting Location Name (a short label for the location). To use these, go to Calendars, then Calendar Settings, and select Notifications. Edit your desired notification template and use the merge field picker to insert the Service Booking Price or Meeting Location Name. Save your changes and test the notification.
