Customizing the Calendar Widget Step Order
Overview
The Calendar Widget Reorder feature gives you control over the sequence of steps a visitor follows when booking an appointment. You can choose whether the Date & Time Selector or the Form appears first. The Payment step, if enabled, will always follow the other two. This is useful for businesses that want to capture lead information even if an appointment is not ultimately scheduled.
Configuring the Widget Order
Note: This feature is only available for the NEO widget.
- Navigate to your Calendar Settings and select the specific calendar you wish to edit.
- Go to the Forms & Payments section.
- Within this section, you will see the Date & Time Selector and Form steps. Simply drag and drop them into your preferred order.
- Click Save to apply your new configuration.
How the Step Order Affects the Booking Process
Date & Time Selector First, Form Second
In this configuration, the booking process is straightforward:
- The visitor first selects an available date and time.
- They then complete the form.
- Once the form is submitted, the appointment is officially booked, a new contact is created in the CRM, and the form data is recorded.
Form First, Date & Time Selector Second
This order changes the flow to prioritize lead capture:
- The visitor fills out and submits the form first.
- Immediately upon form submission, a new contact is created in the CRM.
- The visitor then proceeds to the calendar to select a date and time. The appointment is only created if they complete this second step.
How Payments Work with Step Ordering
When payments are enabled for the calendar, the final creation of the appointment is contingent on a successful payment.
- A visitor has a 10-minute window to complete the payment after reaching the payment step.
- If the payment is completed successfully within this time, the appointment is booked.
- If the payment is not completed within 10 minutes, the appointment is not booked, and the time slot is released and made available for others to book.
Frequently Asked Questions
What happens if a visitor goes back and resubmits the form?
If a visitor navigates back and submits the form again during the same session, the CRM will show multiple form submissions. However, the contact's details will be updated with the information from the most recent submission.
When are my form submission workflows triggered?
This depends on the step order you have set:
- If the form is the first step, the workflow is triggered immediately upon form submission.
- If the form is the second step, the workflow is only triggered if the appointment is successfully booked.
When are my appointment creation workflows triggered?
The timing of appointment workflows depends on your payment settings:
- If payment is disabled, the workflow is triggered as soon as the appointment is booked.
- If payment is enabled, the workflow is triggered only after a successful payment is received.
Why is a time slot missing from the widget even though I don't have an appointment scheduled?
This typically happens when a visitor has selected a time slot but has not yet completed the payment process. The slot is temporarily reserved for them for 10 minutes. If they complete the payment, the appointment is booked. If the session expires without payment, the slot is released and reappears as available on the widget.
