Displaying Available Seats for Class Booking Time Slots

Overview

The Class Booking feature in your CRM allows multiple customers to book the same time slot for a class or event. The "Show seats per slot" option enhances this by displaying the number of available seats remaining for each time slot directly on your public booking widget. This provides greater transparency for your customers, allowing them to see real-time availability and helping you maximize attendance for your classes.

How to Enable "Show Seats Per Slot"

Follow these steps to activate the seat display on your booking widget:

1. Navigate to your Class Booking calendar within the CRM.
2. Click the Edit button for the calendar you wish to modify.
3. Go to the Customizations section.
4. Under the Calendar Widget Style settings, locate the Show seats per slot toggle.
5. Switch the toggle to the on position.
6. Click Save to apply your changes.

Once enabled, the available seat count will be visible to customers using your booking widget.

How Seat Availability Is Calculated

The availability shown is based on the Seats per class limit you set in your calendar's configuration. The system uses an updated calculation method for greater accuracy:

• Each successfully booked appointment reduces the available seats in its time slot by one.
• If a single appointment's duration overlaps with multiple time slots, it will deduct one seat from the capacity of each of those overlapping slots.
• A time slot becomes fully booked and unavailable only when the total number of confirmed bookings reaches the seat capacity you have defined.

This logic prevents overlapping appointments from prematurely blocking entire slots, leading to more efficient use of your calendar's capacity.

How Seats Appear on the Booking Widget

When the feature is active, the booking widget will show the number of remaining seats next to each available time slot. This allows potential attendees to see at a glance which slots have open spots before they make a selection.

Important Information

• This feature is exclusive to Class Booking calendars.
• It will only function if the Seats per class setting for the calendar is set to a value greater than 1.
• The updated capacity calculation is applied consistently across the public booking widget, the in-app appointment modal, personal calendars, Round Robin calendars, and event calendars.
• This feature is designed for the Neo widget style.
• Time slots will remain available for booking until their specific seat capacity is completely filled.
