How to Set Up a Service Calendar
About Service Calendars
A Service Calendar is designed for businesses that offer bookable services. It allows you to define specific services, organize them into categories, and present them all through a single booking page known as a Service Menu. This type of calendar works with your team's schedules, enabling you to assign staff, set service lengths, and even collect payments from clients at the time of booking.
Enabling the Service Calendar Feature
Before you can create a Service Calendar, the feature must be enabled for your account. To do this, navigate to Calendar Settings and click on "Preferences." Under the "In-App Preferences" section, find the "Service Menu" option and toggle it on. Once enabled, the "Service Calendar" option will appear when you go to create a new calendar. Please note that only agency administrators have permission to change this setting.
Creating a Service Calendar
Step 1: Navigate to Calendar Settings and Input the Essentials
Begin by going to the Calendars section and selecting Calendar Settings. Click "Create Calendar" and choose "Service Calendar" from the available options. You will then need to provide the following essential information:
- Service Name: Enter a clear name for your service.
- Service Description: Provide a brief description of the service.
- Staff Assignment and Location: Select the staff members who will be providing this service. After selecting staff, you can configure their preferred meeting location in the advanced settings. Available location options include:
- Phone: The default is your account's phone number, but you can change it.
- Address: The default is your business address, which can be edited.
- Custom: Enter a custom value like a store address or a message.
- Zoom: Generates unique Zoom links if Zoom is integrated in your profile's calendar settings.
- Google Meet: Generates unique Google Meet links if Google is integrated and Google Calendar is selected as your linked calendar.
- URL / Slug: Define a unique web address for your calendar's booking page.
- Duration: Set the length of the service appointment.
- Availability: Configure the general availability for this calendar.
Click the "Advanced Settings" button to access further customization options.
Step 2: Add Your Service Details
In this step, you can add specific details to your service.
- Service Logo: Upload an image that will appear on the booking widget for this specific service calendar. Note that this logo is only visible for individual service calendars, not for services displayed within a Service Menu group.
- Link to Service Menu: To include this service in a Service Menu, you must assign it to a group. Groups are used to categorize similar services together. For instance, you could create a "Consultation" group and add services like "Initial Consultation" and "Follow-Up" to it.
- Appointment Invite Title: Customize the title of the calendar event that will appear in clients' calendars (e.g., Google Calendar, Outlook).
- Event Color: Select a color for this calendar's events, which will sync to connected calendars like Google Calendar.
Service Calendars are intended for in-person services and do not support the addition of virtual meeting locations like Zoom or Google Meet.
Step 3: Configure Availability
Define when clients can book appointments.
- Weekly Working Hours: Set your standard, recurring availability for each day of the week.
- Date Specific Hours: Override your default hours for specific dates, such as holidays or special events.
- Service Duration: Confirm the length of each appointment.
- Service Interval: Set the time interval between available appointment slots.
- Post Buffer Time: Add extra time after an appointment for cleanup or preparation.
- Minimum Scheduling Notice: Specify how far in advance a client must book an appointment (e.g., 2 hours, 1 day).
- Date Range: Determine how many days into the future appointments can be scheduled.
The time slot interval for a Service Calendar is fixed at 15 minutes and cannot be changed.
Step 4: Set Up Forms and Payments
Control how you collect information and payments from clients.
- Forms: Choose between using a default form (which collects name, email, and phone) or a custom form you have created in the Sites > Forms > Builder section. You can also toggle a consent checkbox on or off and customize its message. Please note that custom forms only apply to bookings made directly on the service calendar; bookings made through a Service Menu will use the default form.
- Confirmation Page: Decide what happens after a booking is made. You can show a thank you message on the same page or redirect the user to another webpage.
