Understanding Service Resources

Resources are physical assets—such as treatment rooms, equipment stations, or specialized chairs—that you need to deliver a service. When you assign a resource to a service, the CRM automatically reserves that asset whenever someone books the service. This prevents double-booking and keeps your availability accurate.

You should create a resource only when its availability directly affects your scheduling. For instance, if you have a limited number of massage tables, creating them as resources ensures you don't overbook. However, you don't need to create a resource for items that are always available, like scissors for a haircut.

Note: A service can book only one resource per appointment. However, you can assign multiple similar resources (e.g., "Conference Room A" and "Conference Room B") to a service, and the system will book whichever one is free.

Using resources in your service bookings offers several advantages:

  • Prevent Overbooking: Automatically block a resource when it's booked, eliminating scheduling conflicts.

  • Capacity: Refers to how many people or appointments a single resource unit can accommodate at the same time. For example, a large conference room might have a capacity of 20 people.

How to Create a Resource

Follow these steps to add a new resource to your CRM.

Step 1: Access the Resources Page

Navigate to Calendar > Calendar Settings > Services > Resources. Click the "+ New Resource" button in the upper-right corner of the page.

Step 2: Configure the Resource Details

In the creation form, provide the following information:

  • Resource Name: Enter a clear, descriptive name for the asset.
  • Description (Optional): Add any helpful notes about the resource.
  • Services: Select the service or services that require this resource.
  • Locations: Choose the location or locations where this resource is available.
  • Capacity: Define the maximum number of people or appointments this resource can handle at one time. If the resource is available at multiple locations, you can set a capacity for each location.

Click the blue "Create" button to save the resource. Once created, it will be automatically reserved when its linked services are booked.

Assigning Resources to Services

You can assign a resource to a service in two ways: from the Services tab or directly within the Resources tab. During the setup process, you will:

  • Select the services that need the resource.
  • Choose the locations where the resource is available.
  • Set the capacity for the resource at each location.

After the resource is assigned, the CRM will block its availability for the duration of any booked service appointment. If the resource is not free at the requested time, the booking cannot be completed.

  • Only create resources for assets that are genuine limiting factors in your schedule.
  • Use specific, easily identifiable names (e.g., "Yoga Studio A," "Dental Chair 3").
