Managing Scheduling Conflicts with Third-Party Calendars
About Calendar Synchronization and Conflict Checking
When using group calendars like Round Robin, Service, Class, or Collective Calendars, appointments assigned to a specific user can be synchronized with their external calendars. The CRM can both send appointments to these calendars and read events from them to prevent double-booking.
You manage these connections in your personal settings. Navigate to Settings and select My Profile to find the calendar configuration area. Here, you will see two key settings: Primary Calendar and Check for Conflicts. This section lists all the third-party calendars (such as Google, Outlook, or iCloud) that you have connected to your account.
How "Check for Conflicts" Works
The Check for Conflicts setting is designed to prevent scheduling overlaps. When you enable this feature for a connected calendar, the CRM will read all the events from that external calendar. It then automatically blocks off those times in the CRM's scheduling system, marking the user as unavailable for new appointments during those periods.
Essentially, any meeting, appointment, or event imported from your Google, Outlook, or iCloud calendar will create a "busy" block in the CRM. This prevents clients from booking new appointments through your calendars at times you are already occupied.
It is important to note that the Check for Conflicts feature only reads events to block time; it does not create new appointments or events in your external calendars. That function is handled by the Primary Calendar setting.
Relationship Between Primary Calendar and Conflict Checking
These two settings work together. A calendar that is selected as your Primary Calendar is automatically used for conflict checking. Therefore, if a connected calendar is disabled in the Check for Conflicts list, it typically means it is already actively selected as your Primary Calendar. You do not need to enable it in both places for conflict detection to work.
