Getting Started with Your Booking Calendar

Your booking calendar is the central hub for managing client appointments. Setting it up allows you to define your availability, meeting types, and automated reminders, creating a seamless scheduling experience for both you and your contacts. This guide will walk you through the initial setup steps.

Create a Personal Booking Calendar

Before you can start accepting appointments, you need to create a dedicated booking calendar within your CRM. This calendar holds all your scheduling rules, independent of any external personal calendars you might use.

  • Navigate to the main Calendar section and select Calendar Settings.
  • Click the button to create a New Calendar.
  • Choose Personal Booking as the calendar type for one-on-one meetings.
  • Fill in the required details: give your calendar a name, assign yourself as the host, review the automatically generated booking URL, specify a default appointment duration, and set your general available hours.
  • Click Confirm to create the calendar.

Your calendar settings are organized into logical sections like Basic Details, Availability, and Booking Rules for easier configuration. Once created, you can copy the booking link from this area to start sharing it.

Add Yourself as a Staff Member

To be assigned as a host for a booking calendar, you must be listed as a user in the system.

  • Go to Settings and select the section for managing your team or staff.
  • Click Add User and enter your own details to create your profile.
  • Save the information. You can later adjust specific permissions for yourself or other team members from this area.

Configure Automated Reminders

Automated reminders help reduce missed appointments and improve client communication. You can set these up using the CRM's automation tools.

  • Go to the Automation section of your CRM.
  • Click to Create Workflow and select the option to use a pre-built Recipe.
  • Look for and select the recipe named Appointment Confirmation + Reminder.
  • Within the workflow, locate and edit the Confirmation Email action to update the meeting link (e.g., for Zoom or Google Meet) to your preference.
  • Save the action, review the entire workflow, and then click Publish followed by Save to activate it.

Connect Your Personal Calendar

To prevent double-bookings, integrate your personal calendar (like Google Calendar or Outlook) with your CRM booking calendar.

  • Navigate back to Calendars > Calendar Settings.
  • Select the Connections tab and click Add New to link your external personal calendar account.
  • You can also go to the Video Conferencing tab to connect your preferred meeting tool (e.g., Zoom, Google Meet) so virtual meeting links are automatically generated for appointments.

Share Your Calendar

You can quickly access sharing options directly from the calendar you are editing.

  • Open the settings for your specific calendar under Settings → Calendars → [Your Calendar Name].
  • Look for a Share button in the top-right area of the page. Clicking it provides options to:
    • Copy your standard booking link.
    • Generate a one-time use link.
    • Get the embed code to place the calendar on your website.
    • Preview how the calendar appears to a visitor.

Troubleshooting Missing Information

When saving changes to your calendar, if any required fields are missing, the system will help you locate them. It will automatically scroll to and highlight the field on the current tab, or open the correct tab and highlight the field there, allowing you to fix the issue quickly.
