Service Calendars in your CRM are a powerful scheduling tool designed for service-based businesses like barbershops. They allow you to define specific services, assign them to your barbers, and allocate resources such as chairs or stations. This system automates the booking process for your clients while preventing overbooking and scheduling conflicts for your staff.

Adding Your Barbers as Staff Members

Before creating services, you must add your barbers to the system and define their availability.

  1. Navigate to Settings and select My Staff.
  2. Click Add User.
  3. Enter the barber's name, email, and extension number.
  4. Set appropriate user permissions and define their weekly working schedule (e.g., Monday, Wednesday, Friday from 9 AM to 5 PM).
  5. Click Save to add the staff member.

Creating Service Groups

Groups help you organize your services into categories, each with its own booking link.

  1. Go to the Calendars section and click Calendar Settings in the top-right corner.
  2. Within settings, go to Preferences and ensure the Service Menu option is enabled.
  3. In the Calendars tab, click + New Group on the left sidebar.
  4. In the pop-up, enter a Group Name (e.g., "Haircuts & Shaves"), a description, and a URL slug.
  5. Select a template type and click Create.

Creating a Service Calendar

This process creates a bookable calendar for a specific service, like a haircut.

  1. Select the desired group from the left sidebar and click Create Calendar.
  2. Alternatively, you can navigate via Calendars → Service Menu → Create Service Menu and select the Service Booking option.
  3. You will be guided through a setup process to define the service details.

Configuring Service Details

In the Service Details section, configure what the client sees.

  • Upload a service logo for branding.
  • Enter a clear Service Name and a descriptive Description.
  • Assign the service to the appropriate Group.
  • Create a custom, recognizable Custom URL for the booking page.

Setting Up Appointments and Staff

In the appointment settings, you define the booking mechanics.

  • Set an Appointment Invite Title for calendar invites.
  • Under Team Members, assign the barbers qualified to perform this service.
  • Define a Meeting Location, such as your shop's address or a specific chair number.
  • Choose a Meeting Color to distinguish this service type on internal calendars.

Assigning Rooms and Equipment

This critical step prevents double-booking of physical resources.

  • In the Rooms section, you can assign the service to a specific resource, like "Barber Chair 1" or "Shave Station."
  • Once assigned, that chair or station is reserved for the duration of the booked appointment.

Managing Existing Service Calendars

You can edit any service calendar after creation. Navigate to the Calendars section, find the service in its group, and select the edit option to adjust details, staff assignment, availability, or resource allocation.
