Setting Up Service Calendars for Your Hair Salon

Introduction

Service Calendars in your CRM are powerful tools designed to help hair salons automate appointment scheduling, manage stylist availability, and assign resources like styling chairs and equipment. By properly configuring these calendars, your salon can streamline operations, prevent double-booking, and offer clients a smooth, professional booking experience.

Understanding Service Calendars

A Service Calendar is a specialized scheduling system that lets you define specific salon services, assign them to qualified staff members, and allocate necessary resources. For a hair salon, this means you can create distinct calendars for services like haircuts, color treatments, and styling, ensuring each appointment is linked to the correct stylist, workstation, and tools.

  • Automated Booking: Clients can schedule appointments online without needing to call the salon.
  • Resource Management: Assign specific styling stations, chairs, and tools (like blow dryers or color bowls) to avoid scheduling conflicts for equipment.

  • Service Organization: Group related services together, such as "Cuts & Color" or "Specialty Styling."
  • Integrated Service Menus: Allow clients to book multiple services in a single appointment, like a haircut combined with a blowout.

Adding Staff Members and Setting Availability

Before you can create service calendars, you must first add your stylists to the system and define their schedules.

  1. Navigate to Settings, then select My Staff, and click Add User.
  2. Enter the staff member's name, email address, and extension number. Set appropriate user permissions to control their access level within the CRM.
  3. Define the stylist's weekly availability. For example, you can set that a stylist works Monday, Wednesday, and Friday from 9 AM to 5 PM.
  4. Click Save to add the staff member.

Creating Service Groups

Service Groups help you categorize your offerings. Each group has its own unique booking link.

  1. From the main navigation, go to the Calendars section and click on Calendar Settings, usually located in the top-right corner.
  2. Within settings, go to Preferences and then Account Preference. Toggle the Service Menu option to the on position to activate service-based booking.
  3. In the Calendars tab, click + New Group on the left sidebar.
  4. In the pop-up form, provide a Group Name and Description, and create a unique URL slug. Select a template style and click Create.

Creating a Service Calendar

Step 1: Initiate Calendar Creation

Select the desired group from the left sidebar and click Create Calendar. Then, navigate to Calendars > Service Menu > Create Service Menu. From the list of calendar types, choose Service Booking.

Step 2: Configure Basic Service Details

Fill in the fundamental information for the service:

  • Service Name: A clear name like "Haircut" or "Color Treatment."
  • Assigned Staff: Select the stylist or stylists qualified to perform this service.
  • Custom URL: Create a unique, memorable web address for the booking page.
  • Service Duration: Set the length of the appointment.
  • Availability: Define when this service can be booked.

Step 3: Set Up Service Details

In the Service Details tab, configure what the client sees:

  • Upload a Service Logo for branding.
  • Write a clear Description of the service.
  • Assign the service to the appropriate Group.
  • Finalize the Custom URL for the booking link.

Step 4: Configure Appointment and Staff Settings

In this section, manage how the appointment is presented:

  • Set the Appointment Invite Title for calendar invites.
  • Under Team Members, confirm the assigned stylists.
  • Define the Meeting Location, which could be the salon's address or a specific station.
  • Choose a Meeting Color to help staff quickly identify the service type on the internal calendar.

Step 5: Assign a Room or Station

In the Rooms tab, link the service to a physical location in your salon. A "room" can represent a styling chair, booth, or station. This ensures that the physical resource is reserved for the duration of the appointment, preventing two stylists from being booked for the same station simultaneously.
