About File Share Notifications
When you share a file with a contact through the Client Portal, the CRM automatically sends them a notification. This feature ensures your contacts are immediately aware of important documents like contracts, invoices, or other files you make available to them, eliminating the need for separate manual messages.
How It Works
Notifications are triggered automatically when you share a file with a contact via the Client Portal. To share a file:
- Navigate to the desired contact's record
- Open the Files section from the right-side navigation panel
- Upload a new file or select an existing file
- Enable the Upload to Client Portal option
- Save the file
Once saved, the system generates notifications through supported channels based on the contact's preferences.
Notification Channels
Contacts can receive notifications through multiple channels:
- In-App Notifications: Appear within the Client Portal interface
- Push Notifications: Delivered to the white-label mobile app (requires contact to have push notifications enabled)
Contact Notification Preferences
Contacts can manage how they receive these notifications through their Client Portal settings:
- Log in to the Client Portal
- Go to Settings
- Open Notification Preferences
- Toggle In-app Notifications and Push Notifications as desired
- Save changes
Note that disabling notifications doesn't remove access to already-shared files—it only affects how contacts are alerted about new files.
Troubleshooting
If a contact isn't receiving notifications:
- Verify that Upload to Client Portal was enabled when sharing the file
- Confirm the file appears as shared in the contact record
- Ensure the contact has Client Portal access
- Ask the contact to check their notification preferences
- For mobile notifications, confirm push notifications are enabled in the mobile app
