Accepting Client File Uploads Through the Portal

Overview

The Client Portal provides a secure method for your clients to send files directly to you. When a client uploads a document through their portal, it is automatically attached to their contact record within the CRM, creating a centralized and organized system for managing client-submitted materials.

How It Works

When a client uses the upload feature in their portal, the file is sent to your CRM and stored in a dedicated location. You can then view, download, or manage these files directly from the contact's profile, eliminating the need for scattered email attachments.

Supported File Formats

Clients can upload the following types of files through the portal:

Documents

  • PDF files (.pdf)
  • Microsoft Word documents (.doc, .docx)
  • Microsoft Excel spreadsheets (.xls, .xlsx)
  • Microsoft PowerPoint presentations (.ppt, .pptx)
  • Plain Text files (.txt)
  • Rich Text Format files (.rtf)

Images

  • JPEG images (.jpg, .jpeg)
  • PNG images (.png)
  • GIF images (.gif)

Important Note: Video files (such as .mp4, .mov, .avi, .mkv, or .wmv) are not supported for upload via the Client Portal at this time.

Enabling and Using the Feature

For Administrators: Setting Up Access

Before a client can upload files, you must first enable their access to the Client Portal and send them an invitation to log in.

For Clients: Uploading a Document

Once a client has access, they can upload files by following these steps:

  1. Log into their Client Portal.
  2. Navigate to the Documents section.
  3. Click the Upload Document button.
  4. Select a supported file from their computer or device.
  5. Wait for the upload process to complete.

Accessing Uploaded Files in the CRM

To view files your clients have submitted, go to the Contacts area, select the relevant contact, and navigate to DocumentsReceivedClient Portal. All files uploaded by that client through their portal will be listed there.

Frequently Asked Questions

Can clients upload any type of file?

No. The portal only supports the document and image formats listed above. Video files cannot be uploaded.

Can a client delete a file they uploaded?

This depends on the specific permissions configured for their portal access. In some cases, clients may be able to manage or remove their own uploaded documents.

What should I check if a file upload fails?

If a client cannot upload a file, verify the following:

  • The file type is supported.
  • The file is not corrupted or damaged.
  • The upload process was allowed to finish completely.
  • The client has a stable internet connection.
