Customize the Add Contact Form

About the Upgraded Add Contact Form

The CRM's upgraded Add Contact sidebar provides a streamlined way to create new contacts while maintaining data consistency. Administrators can customize which fields appear, set required fields, and rearrange the form layout to match team workflows. This results in faster data entry, improved data quality, and a uniform experience across desktop and mobile devices.

Note: The Add Contact Modal upgrade is currently available in Labs. If you don't see this feature, ask an administrator to enable it at Agency settings > Labs.

Key Benefits

  • Faster data entry: The slide-out interface allows you to create contacts without leaving your current page.
  • Cleaner data: Display only essential fields and hide unnecessary ones to simplify the form.
  • Improved data quality: Designate critical fields as required to ensure complete records.
  • Custom field support: Include contact-level custom fields to capture unique data points during creation.
  • Administrative control: Admins manage the form layout to maintain consistency while users focus on their tasks.

Permissions and Access

Only admin-level users in the sub-account (via Roles & Permissions) can customize the Add Contact form layout. Any user with access to the Contacts area can open the Add Contact modal and use the configured form.

Managing Duplicates and Data Quality

To maintain data quality, configure deduplication preferences to control how new entries are matched. Go to Settings > Business Profile > Contact Deduplication Preferences to set primary and secondary match fields like Email or Phone. CSV imports automatically check for email and phone matches and merge duplicates—duplicates cannot be created via CSV. If duplicates enter through forms or integrations, you can merge up to 10 contacts and select a master record.

How to Customize the Add Contact Form

Step 1: Open the Add Contact Sidebar

In your sub-account, navigate to Contacts > Smart Lists > + Add Contact to launch the modal.

Step 2: Customize the Form (Admins Only)

Click Customize Form to add or remove standard and contact-level custom fields. Use drag-and-drop to reorder the fields.

Step 3: Set Required Fields

Toggle the Required setting for any field that must be completed before saving the contact.

Step 4: Preview and Save

Use the Preview option to validate your layout, then save the changes for your team.

Step 5: Automate Next Steps (Optional)

Use a Contact Created trigger in a Workflow to automate actions like sending welcome messages, assigning owners, or tagging new contacts.

Accessing the Add Contact Modal

All team members can create new contacts using the same entry point. Go to Contacts > Smart Lists > + Add Contact to open the slide-out modal. Complete the required fields, then choose:

  • Save: Create the contact.
  • Save & Add Another: Create the contact and open a blank form for the next entry.
  • Cancel: Exit without saving.

If you attempt to close the modal without saving changes, you'll receive a prompt to confirm.

Frequently Asked Questions

Q: Who can customize the Add Contact form layout?

A: Only admin-level users in the sub-account (via Roles & Permissions). Regular users use the configured form.

Q: Can I include custom fields on the Add Contact form?

A: Yes. Any contact-level custom field can be added, reordered, and marked as required. Manage fields in Settings > Custom Fields.

Q: How do I prevent duplicate contacts during intake?

A: Configure Contact Deduplication Preferences to set email or phone matching. CSV imports automatically merge by email or phone and cannot create duplicates.

Q: What automations work well with this feature?

A: Use a Contact Created workflow to assign owners, tag by source, and send welcome messages. You can also use Create Contact and Update Contact Field actions as needed.

Q: Does "Save & Add Another" retain previous values?

A: No. It creates the contact and opens a blank form for the next entry. Use workflows to automatically apply tags or owners if consistency is needed.

Q: Do required fields in the modal affect CSV imports or API creates?

A: No. Required rules in the Add Contact modal apply only to manual entry. CSV imports and API requests have their own validations.
