How to Use Custom Fields
What Are Custom Fields?
Custom fields allow you to collect and store information beyond the standard details like name, email, and phone number. They help tailor your CRM to your specific business needs by capturing unique data points relevant to your contacts or sales opportunities. You can use custom fields across forms, surveys, pipelines, workflows, automations, and smart lists to enhance how you manage and interact with your data.
Key Benefits of Custom Fields
Custom fields bring flexibility and structure to your CRM, enabling you to:
- Gather business-specific information, such as budget range or referral source.
- Organize contact and deal details more efficiently.
- Personalize email and SMS messages using merge fields.
- Build precise smart lists and workflow filters.
- Display critical data directly in records and pipeline views.
- Group related fields into folders for a cleaner layout.
Contact vs. Opportunity Custom Fields
It’s important to choose the right field type, as contact and opportunity fields serve different purposes and appear in different parts of the CRM.
Contact Custom Fields
Contact fields are attached to individual people and are ideal for information like:
- Buyer or seller type
- Birthday
- Preferred contact method
- Referral source
- Business website
These fields can be used in contact records, forms, surveys, contact workflows, smart lists, and email or SMS personalization.
Opportunity Custom Fields
Opportunity fields belong to specific deals or sales opportunities and are suited for details such as:
- Budget range
- Property type
- Deal urgency
- Timeline to close
- Sales stage information
They appear in opportunity records, pipeline views, opportunity workflows, and deal reporting or automation.
Note: Once a field is created as a contact or opportunity field, it cannot be changed to the other type.
