Replicate Custom Contact Views with Account Snapshots
Custom Contact Detail Page views allow you to tailor the layout of contact records to fit specific team roles and business processes. By using Account Snapshots, you can capture these custom views from one sub-account and deploy them to others, saving significant time on repetitive setup and ensuring a consistent experience across your client accounts.
Understanding Custom Contact View Snapshots
A custom Contact Detail Page view defines the structure, panels, fields, and modules visible when looking at a contact's record. The snapshot feature enables you to package these view configurations from a source sub-account and import them into one or more destination sub-accounts. This eliminates the need to manually recreate the same layouts for each client account.
Key Benefits
- Efficiency: Build a custom view once and replicate it across multiple accounts.
- Consistency: Ensure all teams see and manage contact information in a standardized way.
- Rapid Deployment: Speed up the configuration of new sub-accounts by including pre-built contact views.
- Scalable Management: Easily maintain role-specific layouts across your entire portfolio of accounts.
Prerequisites and Limitations
To use this feature, the custom Contact Detail Page views must already exist in the source sub-account. Each sub-account can have one default view and up to four additional custom views, for a total of five. You cannot exceed this limit when importing views via a snapshot.
How Imported Views Behave
When you import a custom view, it is added to the destination sub-account as a new custom layout. It does not replace the sub-account's existing default view. The imported view will have the same layout and field configuration as the source, but its status as a default view is not transferred. You will need to manually assign the imported view to the appropriate users or teams within the destination sub-account after the import is complete.
Custom Fields and View Import
The import process is designed to be flexible. If a custom field used in the source view does not exist in the destination sub-account, the system will skip that field during the import rather than stopping the entire process. After importing the view, you should review it and create any missing custom fields in the destination sub-account if they are required.
How to Copy Custom Contact Views Using Snapshots
Step 1: Access Account Snapshots
From the Agency View, navigate to the Account Snapshots section. Click on the option to create a new snapshot.
Step 2: Configure the Snapshot
Give your snapshot a descriptive name that reflects its purpose, such as "Standard Sales Layout." Then, select the source sub-account that contains the custom contact views you wish to copy.
Step 3: Select the Contact Detail Views
On the asset selection screen, find and expand the "Contact Detail Views" category. Here, you will see a list of the custom views available in the source account. Select the specific views you want to include in the snapshot and then click the button to create the snapshot.
Step 4: Deploy the Snapshot
Open the newly created snapshot. Choose the action to push the update. Select the linked sub-account or accounts that should receive the custom views and confirm the deployment.
Step 5: Verify the Import
Switch to the destination sub-account. Navigate to the Contact Detail Views settings to confirm that the custom views have been successfully imported. You can then assign these views to the relevant users.
