About Role Permissions for AI Agents
Role permissions for AI Agents allow account administrators to define exactly what team members can see and do with your automated conversation bots. By assigning these permissions, you ensure that only authorized roles can create bots, edit their goals, or manage their training. This protects your configurations, supports team collaboration, and helps prevent unintended changes.

How to Configure Permissions
1. Access Staff Management
From your account, click Settings in the lower-left corner. In the left sidebar, select My Staff. Find the staff member you wish to update and click the edit (pencil) icon next to their name.
2. Find the AI Agents Section
Within the staff member's profile, use the secondary left navigation bar to click Roles and Permissions. Scroll down the list until you locate the AI Agents section.
3. Set the Permission Toggles
You will see several toggles related to AI Agents. Switch each toggle on or off based on the user's required access level. The available permissions are:
- AI Agents (Parent Control)
- View & Manage Conversation AI agents
- View Conversation AI agent Goals
- View & Manage Conversation AI agent Goals
- View & Manage Conversation AI agent training
4. Save the Configuration
After adjusting the toggles, click the blue Save button to confirm and apply the new permissions for that user.
Understanding the Permission Types
View & Manage Conversation AI Agents
This is the primary control for AI Agents. When enabled, it grants full access to create, edit, and delete AI bots. It also automatically enables the related permissions for managing goals and training. When disabled, the entire Conversation AI Bots menu item is hidden from the user, preventing any access to the bot list or creation tools.
View & Manage Conversation AI Agent Goals
This permission controls the ability to edit a bot's goals and logic after it has been created. When enabled, users can access and modify the Bot Goals tab while editing an existing bot. When disabled, this tab is hidden during editing, though users may still be able to define initial goals when creating a new form-based bot.
View Conversation AI Agent Goals
This setting provides read-only access to configured bot goals. When enabled, users can view goal details like instructions and actions, including within the AI response information panel. When disabled, the Bot Goals tab is hidden during editing, and these details are only visible during the initial creation of form-based bots.
View & Manage Conversation AI Agent Training
This permission manages access to bot training configurations. When enabled, users can attach or detach a knowledge base from a bot and see which knowledge base was used for a response in the conversation panel. When disabled, the Bot Training tab is hidden, preventing any modifications, and knowledge base references are removed from the AI response details.
Note: If both the View & Manage Conversation AI Agent Training and View & Manage Conversation AI Agent Goals permissions are disabled, the Bot Trial feature will become inaccessible.
Common Questions
What happens if I turn off "View & Manage Conversation AI Agents"?
The entire Conversation AI Bots section will disappear from the user's interface. All dependent permissions for goals and training will also be automatically disabled.
Can a user view bot goals but not manage training?
Yes. You can enable the View Conversation AI Agent Goals permission while keeping the View & Manage Conversation AI Agent Training permission disabled.
If a user can't manage goals, can they still set them when creating a bot?
For form-based bots, users may still be able to define initial goals during the creation process, even if the View & Manage Conversation AI Agent Goals permission is disabled. They will not be able to edit goals on existing bots.
Why can't I see the Conversation AI Dashboard?
Ensure the View Conversation AI Dashboard permission is enabled under Roles & Permissions → AI Agents. If disabled, the dashboard will be hidden from the main Conversation AI page and agent-level pages.
