Understanding the Conversation AI Agent
What is the Conversation AI Agent?
The Conversation AI agent is an automated assistant within your CRM that helps manage and scale customer conversations. By understanding incoming messages and applying your configured instructions, this AI-powered tool can handle tasks like answering common questions, qualifying new leads, assisting with appointment booking, and keeping conversations active outside of business hours. You can configure it to either suggest replies for your team to approve or to respond to contacts automatically.
Core Benefits of Using Conversation AI
Implementing a Conversation AI agent offers several advantages for your business communication:
- Accelerated Response Times: Provide instant replies to customer inquiries, day or night.
- Consistent Messaging: Ensure customers receive accurate, on-brand answers every time.
- Efficient Lead Qualification: Automatically gather key information from new contacts to prioritize follow-ups.
- Increased Team Capacity: Handle a higher volume of conversations by automating repetitive interactions.
- Actionable Insights: Review agent performance and conversation outcomes through dedicated logs and dashboards.
Accessing Conversation AI
All Conversation AI agents are managed from the AI Agents section of your CRM. Navigate to AI Agents → Conversation AI to view your list of existing agents, create a new one, or open an agent to modify its configuration.
Key Configuration Concepts
Response Modes
You control how actively the AI participates in conversations by setting its response mode:
- Off: The agent is inactive and will not generate any replies.
- Suggestive Mode: The AI drafts potential replies for incoming messages, but a team member must review, edit if necessary, and manually send each one.
- Autopilot Mode: The agent responds to contacts automatically based on its training and goals.
Primary vs. Non-Primary Agents
This distinction determines how an agent is deployed:
- A Primary Agent is designed to handle general inbound conversations for the communication channels you assign to it.
- A Non-Primary Agent is typically reserved for specific use cases and is invoked only within dedicated workflows.
Configuring Your AI Agent
Each agent is built through several interconnected configuration sections that define its behavior and knowledge.
Bot Settings
This area establishes the agent's foundational identity and operational rules. Here you will:
- Name your agent and set its response mode (Off, Suggestive, or Autopilot).
- Assign the specific conversation channels where it should be active.
- Define its primary behavior status.
- Configure advanced controls like response timing, message limits, and how it handles attachments.
- Select a default response style, such as Concise, Balanced, or Detailed.
Bot Training
Training provides the agent with the knowledge it needs to answer accurately. By connecting information sources, you teach the AI about your business specifics, including services, policies, pricing, and frequently asked questions. The agent uses this trained content as a reference when crafting its responses.
