About the Rebilling Dashboard

The Rebilling tab in your Agency Dashboard offers a central hub for monitoring your agency's financial activity related to reselling services. You can use it to track revenue, oversee vendor costs, and evaluate overall financial health across your client sub-accounts. Data can be filtered by sub-account, product category, and date range to help you analyze performance and identify trends.

Important Notes:

  • The dashboard displays data for the most recent six months only.
  • Negative revenue values may appear due to client refunds, service cancellations, or prorated billing adjustments.

Accessing the Rebilling Dashboard

  1. Log in to your account and ensure you are in the Agency View.
  2. From the left-hand navigation menu, select Agency Dashboard.
  3. Click on the Rebilling tab.

Main Dashboard Overview

The main dashboard provides a high-level summary of your financial performance. At the top of the page, you will find several filtering controls:

  • A filter to select specific sub-accounts.
  • A filter to select product categories.
  • A date range selector.
  • A toggle switch labeled Include only rebilled transactions.

Below these controls, the dashboard displays summary cards for key financial metrics, followed by charts that illustrate the distribution and growth of your revenue, costs, and profit.

Filtering Your Data

Use the filters to refine the data displayed on the dashboard.

Sub-account Filter

This filter allows you to search for and select one or more of your client sub-accounts. You can apply or clear your selections as needed. If you select multiple sub-accounts, the data will be combined to show an aggregate view.

Product Filter

Filter the view by specific service categories, such as Phone, Email, WhatsApp, Premium features, Triggers & Actions, or AI products.

Date Range Filter

Select a custom start and end date for the period you wish to review, then click Confirm to apply the selected range.

Dashboard Controls and Metrics

The dashboard includes several controls that directly affect the calculations and display of data:

  • Sub-account filter
  • Product filter
  • Date range selector
  • Include only rebilled transactions toggle
  • Export button
  • Refresh button

The key metrics are presented in summary cards and charts:

  • Summary Cards: Display totals for Rebilling Revenue, Cost, and Profit.
  • Distribution Charts: Show how Revenue, Cost, and Profit are spread across different products.
  • Growth Charts: Track the trends of Revenue and Profit over the selected time period.

Include Only Rebilled Transactions

When this toggle is enabled, the dashboard will only include transactions that were successfully charged to your clients. If you disable it, costs that were not rebilled may appear in the data. For the most accurate profit analysis, it is recommended to keep this option enabled.

Understanding the Financial Layout

The reporting separates services into two main types:

  • Usage Products: Pay-as-you-go services.
  • Subscription Products: Recurring services with a set fee.

Key financial metrics are defined as follows:

  • Revenue: The total amount charged to your clients.
  • Cost: The total amount charged by the vendors for the services.
  • Profit: The amount remaining after subtracting Cost from Revenue (Profit = Revenue – Cost).

Distribution Reports

These pie or bar charts help you identify which services are generating the most revenue, which have the highest costs, and which are the most profitable.

Growth Reports

These line charts show how your revenue and profit have changed over time, allowing you to spot upward or downward trends.

Working with Exported Data

The dashboard shows summarized, aggregated data. When you export the data to a CSV file, you receive the raw, transaction-level details, which can be more complex to interpret.

Key Fields in the Export

The exported CSV file will contain columns such as:

  • Charge (Revenue)
  • Usage Cost (Cost)
  • Location (Sub-account)
  • Service/Product
  • Date

How to Calculate Profit from an Export

Since profit is not always a pre-calculated column, follow these steps:

  1. Open the CSV file in a spreadsheet application like Excel or Google Sheets.
  2. Locate the columns for Charge and Usage Cost.
  3. Add a new column and label it Profit.
  4. Use a formula to calculate the profit for each row: Profit = Charge – Usage Cost.

For a summarized analysis, you can use a Pivot Table. Set Location as rows, Service as columns, and sum the values for Charge and Cost. Then, calculate the profit from these totals.

Important: The totals in your exported file might not match the dashboard exactly if you have applied different filters before exporting.

Frequently Asked Questions

How is Total Profit calculated?

Profit is calculated as Total Revenue minus Total Cost.

Why does my dashboard show negative revenue?

This is typically due to refunds issued to clients, service cancellations, or prorated billing adjustments.

Why don't the numbers match my Stripe payouts?

The dashboard does not include Stripe processing fees, timing differences between charges and payouts, or refunds processed outside the CRM.

Why is only six months of data available?

This is a current system limitation.

What happens if I disable "Include only rebilled transactions"?

Costs associated with transactions that were not successfully billed to your clients may be included, which can distort the profit calculation.
