Monitoring Your Agency's Performance

The Agency Rolled-up Reporting feature provides a consolidated view of key performance data from all your subaccounts directly within your main agency account. This gives you a clear, high-level overview of how all the businesses under your management are performing.

Configuring the Subaccount Summary View

To customize the data displayed for each subaccount, navigate to your Agency Account and select Sub-accounts. Click the Columns button, where you can select up to eight different metrics to appear on the summary cards for all subaccounts.

Available Metrics

The following metrics can be added as columns to your report. All counts are based on activity within the timeframe you select for the report.

  • Active Users: Shows the number of users who have logged in at least once during the period (on the web or mobile app), displayed as a ratio (e.g., 79/100, where 79 is the count of active users and 100 is the total number of users in that location). This includes both location admins and agents.
  • Appointment: The total number of appointments created, regardless of their status.
  • Contact: The number of new contacts added to the location.
  • Email:
    • Inbound: Count of emails sent by contacts to the location's users.
    • Outbound: Count of emails sent by the sub-account's users to contacts. Automated emails are not included.
  • Text Messages:
    • Inbound SMS: Count of text messages sent by contacts.
    • Outbound SMS: Count of text messages sent by the sub-account's users. Automated SMS are not included.
  • Calls:
    • Inbound: Count of calls made by contacts.
    • Outbound: Count of calls made by the sub-account's users to contacts. Automated calls are not included.
    • Talk Time: The total combined duration of all calls.
  • Submissions:
    • Forms: Total form submissions.
    • Surveys: Total survey submissions.
    • Facebook Forms: Total submissions from Facebook forms.
  • WhatsApp:
    • Inbound: Count of WhatsApp messages received from contacts.
    • Outbound: Count of WhatsApp messages sent by the sub-account's users. Automated messages are not included.
  • Google Business Profile (GBP):
    • Inbound messages: Count of messages received via GBP.
    • Outbound messages: Count of messages sent via GBP by the sub-account's users. Automated messages are not included.
  • Instagram:
    • Inbound messages: Count of messages received via Instagram.
    • Outbound messages: Count of messages sent via Instagram by the sub-account's users. Automated messages are not included.
  • Facebook:
    • Inbound messages: Count of messages received via Facebook.
    • Outbound messages: Count of messages sent via Facebook by the sub-account's users. Automated messages are not included.
  • Review:
    • Total: Count of all reviews received.
    • Positive: Count of positive reviews.
    • Negative: Count of negative reviews.
  • Sites Created:
    • Funnels: Number of funnels created.
    • Websites: Number of websites created.
    • Forms: Number of forms created.
    • Surveys: Number of surveys created.

Managing Scheduled Reports for Sub-Accounts

From the Agency View, you can centrally manage all scheduled reports for your sub-accounts.

The Scheduled Reports Table

Navigate to Agency View → Sub-Accounts → View Scheduled Reports to see a list of all scheduled reports.

  • Use the checkboxes to select one or more reports.
  • Apply bulk actions, such as pausing or resuming the selected reports.

Filtering by Status

You can filter the list to show only active or paused reports. Use the Status filter and select Active or Paused. The Paused filter is useful for identifying reports that are not currently being sent.

Global Settings Panel

Click the Settings icon (a gear) in the Scheduled Reports view to access controls for global behavior. This is helpful during onboarding, holidays, or when making template changes to prevent unwanted report sends.

  • Pause All Scheduled Reports: This action immediately pauses every scheduled report listed at the agency level. Use this before making widespread changes to templates or recipient lists.
  • Auto-create scheduled reports for new sub-accounts: This toggle controls whether default reports are automatically created for new sub-accounts.
    • On: New sub-accounts will receive a set of default scheduled reports automatically.
    • Off: No reports will be created for new sub-accounts, allowing you to review and configure them manually first.

Best Practices

  • Enable the auto-create feature if you want every new client to immediately start receiving a standard set of reports.
  • Disable auto-create if you prefer to customize report templates, recipients, and schedules for each new client before anything is sent.

How to Use the Management Tools

  1. Go to Agency Account → Sub-Accounts → View Scheduled Reports.
  2. Use the checkboxes to select the reports you wish to manage.
  3. Choose an action like Pause or Resume from the bulk actions bar.
  4. Click the Settings icon to pause all reports or configure the auto-creation behavior.

Frequently Asked Questions

Who can access Agency Rolled-up Reporting controls?

Users with Agency View access on the Pro Plan or higher can access these controls.

Can I unpause multiple reports at once?

Yes. Select multiple reports using the checkboxes and then choose the Resume action from the bulk actions bar.

Does 'Pause All' stop reports that get auto-created later?

No. The 'Pause All' action only pauses the schedules that currently exist. The 'Auto-create' toggle independently controls whether new sub-accounts will receive automatic reports. You can use both settings together as needed.

How do I quickly find which reports are not sending?

Use the Status filter and select Paused to see a list of all reports that are currently inactive.
