Automatically Create and Associate Companies from Contact Business Names

The Company Object Automation feature allows you to automatically generate companies and associate contacts based on the business name field in their profiles. This helps organize your contacts under their respective companies without manual effort.

How to Enable Company Object Automation

To activate this feature, navigate to your sub-account Settings, then select Objects, and choose Company. In the Company settings window, check the box labeled Automatically Create and Associate Companies from Contact Business Names. After enabling this option, click Save Changes to confirm.

Once saved, the system will process all contacts that have a value in their Business Name field. Each unique business name will result in a new company being created, and contacts sharing that exact business name will be associated with that company.

How Business Names Are Processed

The system uses the Business Name field as the unique identifier for creating and associating companies. Here’s what to expect:

  • Case Insensitivity: Business names are not case-sensitive. For example, “Example Corp” and “example corp” will be treated as the same business name.
  • Spacing and Spelling Matter: Differences in spacing or spelling will result in separate companies. “ExampleCorp” and “Example Corp” are considered different business names.
  • Exact Matches Required: The system cannot match variations or typos. “Ice Cream Sunday” and “Ice Cream Sundae” will create two distinct companies.

When a company is created, certain contact details are automatically mapped to the company record, including:

  • Street address
  • City
  • State
  • Postal code
  • Country
  • Website

These details are pulled from the contact’s General Info tab. If multiple contacts have the same business name but different details, the system uses the information from the most recently created contact for the company record.

Scenarios and Outcomes

Here’s how the automation behaves in different situations:

  • If a contact has a unique business name, a new company is created, and the contact is associated with it.
  • If multiple contacts share the same business name, one company is created, and all matching contacts are linked to it.
  • If contacts have the same business name but different details, the company record reflects the details from the newest contact.

Limitations and Important Notes

  • Only admin users (agency and sub-account level) can enable or disable this feature. Team members with a User Role can view the setting but cannot modify it.
  • Contacts already associated with a company will not be reassigned, even if their Business Name changes.
  • The automation only processes contacts without an existing company association.
  • Changing a contact’s Business Name after it has been associated with a company does not affect the automation or update the company name.
  • If the feature is turned off, automatic syncing stops. Turning it back on resumes the process from where it left off.
  • Audit logs track user actions, contact updates, company creations, and company modifications.
  • The feature works with contacts added via bulk import, API, forms, and other methods. For CSV imports, ensure the file includes a “Business Name” column with values filled in for each contact.
  • If errors occur during import (e.g., misspelled business names), you must delete the affected contacts and re-import the CSV with corrections. Deleted contact data cannot be recovered.
  • Changes to a company’s name or details do not sync back to the Business Name field or other mapped fields in associated contacts.
