Create and Edit Rental Listings
Overview of Creating and Editing Listings
Rental listings are the core elements of your rental management system. Each listing represents an item available for rent, such as a vehicle, property, or equipment, and contains all relevant details including pricing, availability, and booking options. You can quickly create listings using the streamlined new listing modal, then refine them with detailed settings through the edit listing interface.
How to Create a New Listing
Step 1: Access the Listings Section
Navigate to Calendars → Calendar Settings → Rentals → Listings in your CRM.
Step 2: Initiate New Listing Creation
Click the + New Listing button located in the top-right corner of the screen to open the creation modal.
Step 3: Enter Basic Listing Information
In the New Listing modal, provide the following details:
- Listing Image — Upload or drag and drop images that will display on the booking page
- Listing Name (required) — Enter a descriptive title for your rental item
- Description — Provide details about features and what's included
- Base Price & Booking Unit — Set the rental cost per time unit
- Category — Select an appropriate category for organization
- Status — Choose between Active (visible) or Inactive (hidden) for the booking website
Tip: Keep listings inactive during setup to prevent premature bookings.
Step 4: Configure Advanced Settings
After completing the basic information, click Advanced Settings to access comprehensive configuration options for General Information, Inventory & Pricing, Booking Settings, and Calendar Sync.
Editing a Listing
Step 1: Access the Listings Section
Go to Calendars → Calendar Settings → Rentals → Listings.
Step 2: Select Listing to Edit
Click the edit (pencil) icon next to the listing you wish to modify.
Step 3: Modify Listing Details
The Edit Listing screen opens with four configuration tabs:
- General Information
- Inventory & Pricing
- Booking Settings
- Calendar Sync
General Information Tab
This section contains the fundamental details and visual elements of your listing:
- Listing Image — Add or update multiple images to create a gallery
- Listing Name — Modify the title displayed to administrators and customers
- Description — Update or expand rental details and features
- Category — Change the listing's category assignment
- Status — Switch between Active and Inactive states
- Enable Listing Specific Form — Activate to collect custom information when this specific listing is booked (note: this form is bypassed when multiple listings are added to cart)
Pro Tip: Use compelling images and detailed descriptions to improve customer engagement and conversion rates.
Inventory & Pricing Tab
Inventory Management
Control stock availability and item variations:
- Inventory — Enable to manage available units; disable to treat the entire listing as one bookable item
- Stock — Set the total number of units available for booking
Variants Configuration
Create different versions of the same listing (e.g., various car models or room types):
- Toggle on Variants
- Click + New
- Complete these fields:
- Variant Name
- Stock (if inventory enabled)
- Base Price
- Security Deposit (optional)
- Click Confirm to save
When variants are enabled, you set the Booking Unit (Hour, Day, Week, or Month) that applies to all variants.
Pricing Options
Base Price — The standard rental rate before any adjustments
Advanced Pricing Features:
- Seasonal Pricing — Adjust rates for specific date ranges
- Day of Week Pricing — Set different rates for weekdays versus weekends
- Hour of Day Pricing — Configure time-based rates (for hourly bookings)
- Duration Discounts — Offer price reductions for longer rental periods
- Quantity Discounts — Apply discounts for bulk bookings
Booking Settings Tab
Booking Period Configuration
Determine how customers select rental dates and times:
Date & Time Selector — Customers choose both start and end dates with specific times. Ideal for hourly rentals where precise timing matters. Duration is calculated from the exact time difference between selections.
Date Selector (Date-Only Bookings) — Customers select only start and end dates. The system uses configured Rental Start Time and Rental End Time settings to calculate duration and pricing.
