How to Select an Email Template When Sending a Certificate
Follow these steps to choose a template and customize the email sent with a manual certificate.
- Go to the Certificates area in your CRM.
- Select the contact or contacts you want to send a certificate to.
- Click the Send Certificate button.
- In the window that opens, find the Email Template dropdown menu.
- Choose your preferred template from the list.
- Edit the text in the Email Subject field if needed.
- Review the email preview and click Send.
What Happens If You Don't Select a Template
If you proceed without choosing a specific email template in the send window, the system will automatically use a default template. This default template is set in your account's Client Portal Settings, under the Email Settings section.

Can I create my own email templates for certificates?
Yes. You can create and manage email templates in your CRM's Email Templates settings. Any template you create will be available in the dropdown menu when sending a certificate manually.
Does the subject line change automatically when I pick a template?
No. The subject line field remains independent. If you want the subject to match your chosen template, you must type it in manually.
Can I see what the email will look like before sending it?
Yes. After you select a template, a preview of the email content appears in the send window for you to review.
What if I send a certificate without picking a template or changing the subject?
The system will use the default email template and its associated subject line from your Client Portal Email Settings.
Can I have different default templates for different certificate types?
