Understanding Files and the Media Library

A file is a collection of data stored under a specific name and format, indicated by its file extension (such as .png, .pdf, or .txt). Different tools within the CRM can use files, but each has limits on the types and sizes it can handle. For example, a webpage builder might accept a PNG image up to 1MB but not an SVG file or a 1GB image.

File extensions are usually visible, but file sizes can be less obvious. Even if a tool can use a file, design considerations might require limiting its display size. A logo meant for a header might look best at 50x200 pixels, but if displayed at 500x500 pixels, it could appear oversized or pixelated—unless it's an SVG, which scales smoothly at any size.

When a file is displayed, its dimensions might not perfectly fit the allocated space. Style options like alignment (left, right, center) and handling of whitespace (stretching, tiling, cropping) help adjust the presentation. These settings affect how the file appears but aren't part of the file itself.

The CRM includes a Media Library to help you manage these complexities, storing assets like images, videos, and documents for use across various features.

Media Library Details

Access the Media Library by navigating to Media Storage > Folder/File. Here, you can preview and manage your files. Key details displayed for each file include:

  • Filename: The unique identifier for the file.
  • File Extension: The suffix (e.g., .png) indicating the file format.
  • Publication Date: The date the file was added to the library.
  • File Size: The memory usage, often in kilobytes (KB), megabytes (MB), or gigabytes (GB).
  • Dimensions: The native pixel height and width, showing how much space the file occupies without scaling.

Per-Product File Limits

Files can be uploaded through Forms by creating a Custom Value of type File Upload. Different CRM features have specific limits on file types and sizes. Below is a summary of supported formats and their maximum sizes across key products:

Most formats support inline thumbnail or preview where applicable. Some formats may display as downloadable files depending on browser capabilities and operating system settings. Note that specific preview limitations (e.g., for HEIC files) may vary.
