Filtering contacts by email statistics allows you to segment your audience based on their actual engagement with your email communications. Instead of analyzing campaign summaries, you can drill down to see which specific contacts opened an email, clicked a link, had a message bounce, or took other key actions. This gives you the power to create highly targeted segments for follow-up campaigns, list hygiene, and performance analysis at the individual contact level.

Important Note: This contact-level filtering feature is only available for sub-accounts using the built-in CRM email service. Sub-accounts using other email providers will not have access to this functionality.

How to Filter Your Contacts by Email Statistics

Access Email Analytics

First, log into the specific sub-account where you want to analyze email performance. Then, navigate to SettingsEmail ServicesEmail Analytics.

Review Available Metrics

At the top of the Email Analytics page, you will see a summary of key email metrics. These include: Sent, Delivered, Opened, Clicked, Complained, Bounced, Unsubscribed, and Failed.

Set Your Analysis Parameters

Use the Date Range picker to define the specific time period you want to analyze. Then, click the Filters button and select Email Source. Choose the type of email send you want to filter by:

  • Campaign: Marketing emails sent from a Campaign.
  • Workflow: Automated emails triggered by a workflow step.
  • Bulk Request: One-time bulk sends to a contact list.

After selecting an Email Source type, you must select a specific Email Source Name (the name of the particular campaign, workflow, or bulk send). If you skip this step, the filter will not return any results.

View and Analyze the Results

Click on any of the metric boxes (like 'Opened' or 'Clicked') to open a list of the contacts who match that metric for your selected source and date range. You can use the pagination controls to view more contacts and click the Refresh button to update the list if you change any filters.

To get more context on a specific contact, click their name to open their full contact record, where you can view their history, add notes, or initiate follow-up actions.

Frequently Asked Questions

Why don't I see any results after selecting a Campaign in the filters?

You must also select a specific Source Name (the name of the individual campaign). Additionally, verify that the campaign was actually sent during your selected date range.

Can I filter by multiple campaigns or workflows at once?

You can filter by all sends of a single type (like all Campaigns), or by one specific source name within that type. You cannot currently select multiple specific source names across different types simultaneously.

Do opens and clicks require tracking to be enabled?

Yes. If open tracking or link tracking is disabled for your emails, the Opened and Clicked metrics will be incomplete or unavailable.

What is the difference between Bounced, Failed, and Complained?

  • Bounced: The recipient's email server rejected the message.
  • Failed: An error occurred before the delivery attempt was made.
  • Complained: The recipient marked the email as spam.

Where do I change the date range for the analysis?

Use the Date Range picker at the top of the Email Analytics page. After changing the date, click Refresh to apply the new time window.

Can sub-accounts using non-CRM email providers use this feature?

No. Contact-level Email Analytics filtering is exclusively available for sub-accounts using the built-in CRM email service.
