Snapshots - Overview

What is a Snapshot?

A Snapshot is a template that captures a specific configuration from one of your CRM sub-accounts. This allows you to save time by copying that proven setup—including elements like workflows, forms, and funnels—into new or existing sub-accounts, rather than building everything from scratch each time.

Key Benefits of Using Snapshots

Snapshots offer several advantages for streamlining your agency's operations:

  • Accelerate Onboarding: Get new client accounts up and running quickly with pre-configured systems.
  • Ensure Consistency: Maintain uniform processes and branding across all your client accounts.
  • Reuse Templates: Create a single, optimized setup and apply it to multiple clients or business locations.
  • Selective Control: Choose to copy all assets or only specific items when creating or applying a Snapshot.
  • Scalable Updates: Make improvements to your master setup and then push those updates to connected accounts.

What Can Be Copied with a Snapshot

Snapshots can transfer a wide range of configuration assets from a source account. The exact items available depend on what is present in the source and the categories you select. Commonly copied items include:

  • Workflows and automations
  • Funnels and websites
  • Forms and surveys
  • Calendar configurations
  • Custom fields and pipelines
  • Email and text templates
  • Dashboards and reports

Please note that some assets may require additional setup in the destination account, such as reconnecting integrations or obtaining approvals, before they become fully functional.

What Does Not Transfer

It is important to understand that Snapshots are designed to copy configurations, not live data or specific account connections. The following items are not transferred:

  • Contacts and their data
  • Appointment history
  • Past conversations and messages
  • Active integrations and Stripe connections
  • Assigned phone numbers
  • Third-party plugin licenses that need re-authentication

How to Create a Snapshot

You create a Snapshot from an existing sub-account that is already configured the way you want. You cannot build a Snapshot from a blank slate. The basic process is:

  1. Ensure your source sub-account is set up with all the workflows, forms, and other assets you wish to reuse.
  2. Navigate to the Snapshots area within your CRM.
  3. Initiate the creation of a new Snapshot from the chosen source account.
  4. Select the specific asset categories you want to include in the template.
  5. Finalize the creation of the Snapshot, which will then be saved to your agency's library for future use.

Common Use Cases for Snapshots

Snapshots are particularly useful for:

  • Standardized Client Onboarding: Quickly deploy a consistent set of tools for every new client.
  • Multi-Location Businesses: Roll out identical systems for different branches or franchises.
  • Agency Partnerships: Share successful configurations with other agencies.
  • Service-Specific Packages: Create tailored templates for different service offerings you provide.
