Sharing CRM Snapshots with Other Accounts

Snapshots allow you to package and share your CRM configuration, including funnels, workflows, forms, and templates, with other agencies or sub-accounts. You can generate secure share links for one-time use, repeated imports, or even to automatically provision new accounts in a SaaS model.

How to Share a Snapshot

Follow these steps from your agency's Snapshot list to create a shareable link.

  1. Navigate to the Agency View and go to Account Snapshots > My Snapshots.
  2. Find the snapshot you want to share and click the three-dot menu (⋯) next to it, then select Share Snapshot.
  3. In the modal that appears, select a Share Option:
    • Permanent Link: Creates a reusable link for unlimited imports.
    • One-Time Link: Generates a link that expires after a single successful import.
    • Email Link: A one-time link sent directly via email.
    • Agency-Restricted: Allows imports only by agencies whose relationship number you specify.
    • Sub-Account Restricted: Limits imports to one or more specific sub-accounts you select.
  4. You can toggle on Assets Protected to prevent recipients from copying or re-sharing the protected content within the snapshot.
  5. Click Get Link, copy the generated URL, and distribute it to the intended recipient(s).

Selecting the appropriate sharing method helps control access and protect your assets.

  • Permanent Link: Best for sharing with a team or for a resource you want to be publicly available. The link remains active until you manually revoke it or delete the snapshot.
  • One-Time or Email Link: Ideal for selling a snapshot to a single client. The link becomes invalid after its first use, requiring a new link for each new customer.
  • Agency-Restricted Link: Use when collaborating with specific partner agencies. You can list multiple agency relationship numbers to grant them access.
  • Sub-Account Restricted Link: Provides the most precise control, allowing imports only into the exact sub-accounts you designate.

Updating a Shared Snapshot

It's important to understand that a snapshot is a copy of your account at a specific moment. Changes you make to the original snapshot are not automatically pushed to accounts that have already imported it.

To update sub-accounts within your own agency: First, refresh the snapshot with your changes. Then, use the Push feature to send those updates to the linked sub-accounts.

To update agencies or accounts outside your agency: If you shared using a Permanent, One-Time, or Email link, you must create a new, updated snapshot and share the new link with the recipients. The old link will no longer function.

For Agency-Restricted or Sub-Account Restricted links, you need to refresh the snapshot, return to the share modal, re-select the restriction type, and re-enter all the relevant agency or sub-account details to generate a new URL to share.

Using Snapshots for SaaS Mode

You can configure a snapshot to be the default template for new sub-accounts created under your agency. When a new client signs up through your SaaS portal, their account will be instantly provisioned with all the funnels, settings, and automations defined in your chosen snapshot, ensuring a consistent and rapid onboarding experience.
