Transferring Multiple Sub-Accounts to Another Agency
The bulk transfer feature allows you to move multiple sub-accounts simultaneously to another agency account. This guide covers the process for both the sending and receiving agencies.
Initiating a Bulk Transfer (Sending Agency)
As the agency sending the sub-accounts, follow these steps to create a bulk transfer request.
Step 1: Access the Sub-Account Transfers Section
Log into your agency-level account. Navigate to the Sub-Accounts section and select Sub-Account Transfers. Click the Bulk Transfer Subaccount button and then Proceed to begin.
Step 2: Select the Sub-Accounts to Transfer
You have two methods for selecting the sub-accounts you wish to transfer:
- Select from a List: Search for and select specific sub-accounts from the list provided. You can also use the Select All option. Please note that you can select a maximum of 1,000 sub-accounts at one time.
- Enter Location IDs Manually: Alternatively, you can manually enter the Location IDs for the sub-accounts. Enter the IDs in a comma-separated format (for example: 12345,67890,54321).
Step 3: Specify the Receiving Agency
Enter the Relationship Number of the agency that will receive the sub-accounts. It is crucial to double-check this number for accuracy.
Step 4: Confirm and Send the Request
Review all the details of the transfer. To finalize the request, enter your account password and click Confirm. The transfer will only be completed after the receiving agency approves the request.
Tracking Your Sent Request
You can monitor the status of your transfer requests. Go to the Sub-Account Transfers screen and switch to the Sent tab. Then, navigate to the Bulk Request tab and click View Details to see the status of each sub-account.
- Completed: The receiving agency has accepted the transfer.
- Rejected: The receiving agency has declined the request.
- Pending: The receiving agency has not yet taken action.
- Failed: The sub-account could not be transferred, often due to restrictions like HIPAA or SaaS mode.
Note: The receiving agency must accept or reject all sub-accounts in a bulk request together; partial approvals are not possible.
Accepting or Rejecting a Bulk Transfer (Receiving Agency)
If your agency has been sent a transfer request, follow these steps to manage it.
Step 1: Access the Incoming Request
You will receive an email notification and an in-app alert when a transfer request is made. Navigate to the Sub-Account Transfers section and go to the Received tab to view the request.
Step 2: Review the Request Details
Click Take Action to see the list of sub-accounts included in the transfer. Review the details of each sub-account before making a decision.
Step 3: Accept or Reject the Transfer
You must choose to either accept all sub-accounts in the request or reject all of them. Partial acceptance is not an option. The transfer is only finalized once you accept the request.
What Information is Transferred?
When a sub-account is successfully transferred, the following data and assets move to the new agency:
- Websites and funnels
- CRM calendars (note: external calendar integrations will be disconnected)
- All automations, which will remain in a Live state
- Contacts, including their conversations, appointments, opportunities, and history
- Contacts will remain enrolled in their current workflows
- Access to Memberships
- Sub-account level API Keys
- Users with the 'Account' User Type, but only if they are assigned exclusively to the transferred sub-account and no others
Important: What Information is NOT Transferred?
Certain settings and connections are not carried over during a transfer. The sending agency should be aware of the following:
- All authorization connections (e.g., Google, Facebook, Instagram, QuickBooks) will be deleted.
- Facebook and Google ad settings will be cleared.
- Sub-account-level Stripe field data will be cleared.
- Any SaaS settings will not be transferred, and SaaS mode will be automatically disabled before the transfer.
- Smartlists are not currently transferred.
- Mailgun/SMTP settings will not be transferred.
- Active subscriptions (e.g., for WordPress, Yext, WhatsApp, Dedicated IP) cannot be transferred and must be canceled by the original owner beforehand.
Phone Number Transfers
The transfer of phone numbers depends on the platforms used by the agencies involved.
- If Both Agencies Use the CRM's Integrated Phone System: If both the sending and receiving agencies, along with the sub-account, are using the integrated phone system, then all phone numbers will be automatically transferred. The A2P DLC registration status will be retained, and the receiving agency will be responsible for all future usage charges.
- If Either Agency Uses Twilio: If one or both agencies are using Twilio for their phone numbers, the CRM platform will not transfer the numbers. You must coordinate directly with the previous account owner and Twilio to port any phone numbers.
