Understanding Agency Sub-Accounts in Your CRM

What Is an Agency Sub-Account?

An Agency Sub-Account is a specialized workspace within your CRM that serves as your agency's internal operational hub. Unlike standard client accounts, it is designated specifically for managing your own business activities, such as SaaS plans, subscription setups, rebilling configurations, and payment provider integrations. This separation ensures that your agency's critical operations remain distinct from client work.

Key Benefits of Using an Agency Sub-Account

Utilizing an Agency Sub-Account offers several advantages for organized and efficient agency management:

  • Clear Separation: Keep your internal business operations separate from client accounts, reducing confusion and improving workflow clarity.
  • SaaS Management: On eligible plans, manage SaaS products and subscriptions directly from the Payments module within your designated Agency Sub-Account.
  • Rebilling Centralization: Use the Agency Sub-Account to configure and oversee rebilling settings and supported payment provider connections.
  • Enhanced Organization: Easily identify agency-owned accounts through visual badges and filtering options in your CRM interface.
  • Operational Security: Transfer and removal restrictions help safeguard billing and SaaS configurations from accidental changes.
  • Flexible Setup: Agencies can use multiple Agency Sub-Accounts for different SaaS or payment processor configurations where supported.

Agency Sub-Account vs. Client Sub-Account

While both types of sub-accounts function as locations within the CRM, they serve distinct purposes:

  • Client Sub-Account: Designed for managing a client's business. It uses SaaS products sold to clients and reads rebilling configuration from the Agency Sub-Account. These accounts can be transferred when eligible and lack the Agency Sub-Account badge.
  • Agency Sub-Account: Reserved for your agency's internal use. It creates and manages SaaS plans (where supported), hosts rebilling configuration, and connects payment providers. It cannot be transferred to another agency and features a blue Agency Sub-Account badge for easy identification.

Selecting an Account Type During Creation

When creating a new sub-account on supported plans, you will be prompted to choose an account type:

  • This is my client's account: Select this option when setting up a workspace for a client.
  • This is my own account: Choose this for your agency's internal operations, SaaS management, or rebilling setup. The description may vary based on your plan, referencing agency workspace, SaaS clients, subscriptions, or rebilling configuration.

How Agency Sub-Accounts Support SaaS Mode

For agencies with SaaS-enabled plans, the Agency Sub-Account acts as the central hub for SaaS operations:

  • SaaS products and subscriptions are created and managed from the Payments module within the selected Agency Sub-Account.
  • Customer purchases link subscriptions back to the Agency Sub-Account used for provisioning.
  • Client sub-accounts created via SaaS are connected to the Agency Sub-Account.
  • Agencies can use different Agency Sub-Accounts for varied SaaS or payment provider setups where supported.

It is crucial to select your own agency account (not a client account) as the Agency Sub-Account to avoid misplacing SaaS or billing management.

How Agency Sub-Accounts Support Rebilling

On supported plans, the Agency Sub-Account serves as the configuration center for rebilling, housing payment provider connections and billing setups used for charging sub-accounts or clients. Supported payment providers may include Stripe, NMI, and Authorize.net.
