Understanding SaaS Analytics and Monthly Recurring Revenue (MRR)

What is the SaaS Analytics Dashboard?

The SaaS Analytics tab is a feature available exclusively to agencies on the Pro plan ($497). It provides a centralized view of your key subscription metrics, allowing you to monitor the health and growth of your SaaS business within the CRM. This dashboard aggregates data on revenue trends, customer counts, plan performance, and customer cohorts, giving you the insights needed to make informed decisions about growth, retention, and pricing.

Key Benefits of Using SaaS Analytics

  • Centralized Visibility: Track all critical metrics—including MRR, total revenue, churn, upgrades, downgrades, and average revenue per account (ARPA)—in a single location.
  • Data-Driven Decisions: Evaluate the effectiveness of your plan pricing and structure by analyzing MRR by plan and ARPA trends.
  • Growth Identification: Quickly identify opportunities for expansion and customer reactivation.
  • Risk Management: Detect early signs of revenue contraction and churn, enabling you to take proactive retention measures.
  • Operational Efficiency: Automated, event-based calculations reduce the need for manual data reconciliation and dependence on external analytics tools.

How to Access and Navigate SaaS Analytics

For a subscription to appear in the analytics, it must be created and managed directly within the CRM. To access the dashboard:

  1. Log in to your agency account.
  2. Navigate to the Agency Dashboard and select the SaaS tab.
  3. Use the Product button to filter data by specific SaaS products.
  4. Use the Date Range selector to view data for a specific time period.
  5. Click the Reload button to refresh the data display.
  6. Click Export to generate a CSV file of the data, which is typically available within 7-10 minutes.

Once in the dashboard, you can review several key metrics:

  • MRR: Your total Monthly Recurring Revenue.
  • New MRR: Revenue from first-time paid subscriptions or conversions from a trial.
  • Expansion MRR: Revenue increases from upgrades or added recurring value.
  • Contraction MRR: Revenue decreases from downgrades or reduced recurring value.
  • Churned MRR: Revenue lost from cancellations or lapsed subscriptions.
  • Reactivation MRR: Revenue from previously cancelled or paused subscriptions that have been reactivated.
  • Total SaaS Customers and Revenue: A monthly summary of your customer count and total revenue.
  • MRR by Plan: A breakdown of Monthly Recurring Revenue generated by each subscription plan.
  • Customer Plan Changes: A monthly count of customers who upgraded or downgraded their plans.
  • Net MRR Churn Rate: The percentage of monthly recurring revenue lost from existing customers, after accounting for any expansions or upgrades.
  • Plan-Wise Customer Distribution: A visual representation of how your total customers are distributed across your available plans.

How Subscription Status Affects MRR

The status of a subscription determines if and how its revenue is counted in the MRR calculations.

  • Active: A current, paid subscription in good standing. This status is counted in MRR.
  • Past Due: A subscription with a failed payment. It is still counted in MRR until it is officially cancelled according to your billing policy.
  • Trialing: A subscription on a free or discounted trial before the first payment. This status is not counted in MRR until the trial converts to a paid plan.
  • Paused: A subscription that has been temporarily suspended. It is not counted in MRR unless it is reactivated.
  • Cancelled: An ended subscription with no active billing. It is not counted in MRR and contributes to churn calculations at the time of cancellation.
  • Unpaid/Incomplete: A subscription where payment setup was not completed. This status is not counted in MRR.

What is Included in MRR Calculations?

To ensure clarity, it's important to know which transactions are factored into the MRR figures.

  • Included: Recurring charges from subscriptions that are created and managed within the CRM. All recurring amounts are normalized to a monthly value (e.g., an annual plan's cost is divided by 12).
  • Excluded: Subscriptions billed outside of the CRM platform, one-time charges, setup fees, and any non-recurring usage fees.

Methodology and Data Handling

The analytics use a consistent methodology to provide reliable and comparable results.

  • Event-Based Calculation: MRR values are updated based on specific subscription lifecycle events, such as new sign-ups, upgrades, downgrades, cancellations, and reactivations. This provides an auditable trail for each MRR component.
  • Currency: All revenue values are normalized and displayed in USD for consistency. Multi-currency support is not currently factored into the main MRR totals.

Frequently Asked Questions

Who can access the SaaS Analytics tab?

Access is limited to agencies subscribed to the Pro plan ($497).

Do trial subscriptions count toward MRR?

No. MRR only begins when a trial converts to a paid, active subscription.

Are one-time fees or setup charges included in MRR?

No. MRR only includes normalized, recurring subscription revenue.

How are upgrades and downgrades represented?

Upgrades are shown as Expansion MRR, while downgrades are shown as Contraction MRR.

What is counted as churned MRR?

Churned MRR is the monthly revenue value lost from subscriptions that are cancelled or fully lapse.

Can a cancelled account be counted again?

Yes. If a cancelled subscription is reactivated, it will contribute to Reactivation MRR.
