Using Contacts Widgets in Dashboards and Reports

Overview

Contacts Widgets provide powerful tools for visualizing and analyzing your contact information directly within your CRM dashboards and custom reports. These widgets eliminate the need for manual exports or spreadsheet analysis by giving you immediate insights into your contact data. You can track total contact counts, analyze trends over time, examine distribution by various categories, and filter results to focus on specific segments that matter most to your business.

Available Contacts Widgets

There are 17 different Contacts Widgets available, each designed to answer specific questions about your contact database. While each widget opens with a default chart type that best suits its purpose, you can customize the visualization to any supported chart type through the widget settings.

Widget List and Descriptions

  • Contacts Count - Shows the total number of contacts
  • Contacts Count (Logged in user) - Displays contacts assigned to the currently logged-in user
  • Contacts Count Over Time - Tracks how contact additions trend over a selected period
  • Contacts Counts by Activity - Shows the number of contacts with specific activities
  • Contacts Counts by Tags - Displays how contacts are distributed across different tags
  • Contacts Counts by Type - Shows contact distribution by contact type classification
  • Contacts by Assigned User - Maps contacts across your team members
  • Contacts by Company Name - Shows contact distribution across different companies
  • Contacts by Medium - Displays contact distribution by attribution medium
  • Contacts by Source - Shows contact distribution by attribution source
  • Contacts with Email - Counts contacts that have email addresses on file
  • Contacts with Phone Number - Counts contacts with phone numbers recorded
  • Contacts without Email - Shows contacts missing email addresses
  • Contacts without Phone Number - Shows contacts without phone numbers
  • Top Sources for Contacts Created - Ranks sources driving the most new contacts
  • Total Contacts Count (This Month) - Shows contacts created in the current calendar month
  • Total Contacts Count (Till Date) - Displays cumulative total contacts from the beginning

Important Notes: The last two widgets use fixed date scopes and do not follow the dashboard's global date range selector. Widgets showing attribution data (Contacts by Medium, Contacts by Source, and Top Sources) include a built-in Latest Attribution filter that shows data based on the most recent touchpoint for each contact.

Supported Chart Types

All Contacts Widgets can be customized to display data using various visualization formats:

  • Number - Ideal for single key performance indicators and quick counts
  • Donut - Perfect for showing distribution and breakdowns by category
  • Bar - Effective for comparing values across different categories
  • Line - Best for tracking trends and patterns over time
  • Horizontal Bar - Useful when comparing many categories with long labels
  • Table - Provides detailed row-level breakdowns of your data

Group By Options

Widgets that support breakdown dimensions can be grouped by various contact properties to provide deeper insights. Grouping is available on widgets that show distributions and breakdowns.

Available grouping options include:

  • Assignee - Groups by the user assigned to each contact
  • Source - Groups by the source where the contact was generated
  • Tags - Groups by tags applied to the contact
  • Followers - Groups by users following the contact
  • Company Name - Groups by the company associated with the contact
  • Contact Type - Groups by the contact's type classification
  • Country - Groups by the contact's country
  • Activity - Groups by activity type associated with the contact
  • Session Source - Groups by session-level traffic source
  • Medium - Groups by attribution medium

Tip: Apply conditions first to narrow your data set, then use Group By options to see detailed breakdowns within that specific segment.

Date Properties

Contacts Widgets can measure data against different date fields, allowing you to control which timestamp is used when applying the dashboard date range:

  • Created On - When the contact record was created (default for most widgets)
  • Updated On - When the contact record was last modified
  • Birth Date - The contact's date of birth
  • Last Activity - The date of the most recent activity recorded on the contact

Filtering Contacts Widgets

Every Contacts Widget supports filtering through conditions in the widget settings panel. Conditions allow you to scope the widget to specific contact subsets, such as contacts in a particular country or with specific attribution sources.

Standard Filters

Standard filtering options include:

  • Assigned User - Filter by user assignment status
  • Tags - Filter by tags applied to contacts
  • Company Name - Filter by associated companies
  • Followers - Filter by users following contacts
  • Contact Type - Filter by contact type classification
  • Country - Filter by geographic location
  • Address - Filter by address information
  • Email - Filter by email presence or specific addresses
  • Phone Number - Filter by phone number presence or specific numbers
  • Birth Date - Filter by date of birth

Attribution Filters

Additional filtering options are available for attribution data, allowing you to analyze contacts based on their acquisition sources and channels.
