Using the Template Library for Branded Review Request Emails

Overview

The Template Library feature for review request emails provides two powerful ways to create professional communications. You can build an email completely from scratch for maximum customization, or you can select a pre-designed template from the library to speed up the process. Both methods ensure your review requests maintain a consistent and branded appearance.

How to Set Up Email Requests

First, you need to enable and configure the email request feature in your CRM.

Access Email Request Settings

  1. Go to the Reputation section in the main navigation.
  2. Select Settings from the dropdown menu.
  3. Click on Email Requests.

Activate Email Requests

Toggle the switch to the ON position to activate the feature. In this section, you can also configure:

  • When the first email is sent (e.g., 1 hour after check-in).
  • How frequently to resend the request if the contact doesn't click the link.
  • The maximum number of retry attempts.

Creating a New Email Template

Once the feature is active, you can start creating your email templates.

  1. Click the Create New button.
  2. You will be presented with two choices:
    • Create New Template: Start with a blank canvas.
    • Import from Template Library: Choose a pre-designed template.

Building a Template from Scratch

If you select Create New Template, you will use a drag-and-drop builder. You can add various elements to structure your email, including:

  • Text blocks, images, and buttons.
  • A review link for customers to leave feedback.
  • Your logo, social media icons, and dividers.

When you are satisfied with your design, click Save.

Using the Template Library

If you select Import from Template Library, you will see a collection of templates organized into categories like Business Coaching, Financial, and Creative. Select a design that fits your needs, then replace the placeholder text and images with your own content and branding.

Managing Your Templates

All your saved templates are listed in the Email Requests dashboard. To manage a template, click the three dots () next to its name to see the available options:

  • Preview & Edit Details: View the email's appearance and edit basic information like the subject line.
  • Edit Template: Open the template in the drag-and-drop editor to make design changes.
  • Clone: Create a duplicate of the template to use as a starting point for a new variation.
  • Restore: Recover a template that was previously deleted.
  • Delete: Permanently remove a template from your library.
