Configuring SMTP Providers

This guide covers how to set up, test, and troubleshoot SMTP provider integrations with your CRM.

Before Using SMTP

The CRM offers direct integrations with Google and Outlook. If you're sending through these providers, we recommend using those dedicated integrations instead of SMTP for optimal functionality.

If you choose to use SMTP instead, please note this is an advanced configuration. Support for SMTP setups is provided on a best-effort basis.

SMTP Provider Server Settings

You'll need to obtain the correct SMTP and IMAP server settings from your email provider. These settings typically include server addresses, port numbers, and authentication requirements. Consult your email provider's documentation for these specific details.

Sender Email Address Configuration

When using an SMTP provider, the sender email address you configure in the CRM must match the email address associated with your SMTP integration. If these addresses don't match, or if the sender email isn't verified with your SMTP provider, email delivery will fail.

Testing Your SMTP Integration

To test your SMTP setup, send a test email and ensure the sender email address matches your integrated SMTP email. In manual conversations, the sender email defaults to your login email, so you'll need to manually change it to match your SMTP email address.

Daily Sending Limits

Your SMTP provider may impose daily sending limits. For example, Gmail typically limits sending to approximately 100-150 emails per day when using remote email clients.

Email Statistics with SMTP

When using SMTP, the CRM receives sent, open, click, and bounce events from your provider. However, delivered events are not available through SMTP. Because of this limitation, the system marks an email as delivered only after an open event is received.

Common Setup Issues

  • Disable email re-billing when making changes to your default provider
  • Test your SMTP credentials using third-party testing tools before implementing

Setting Up Amazon SES

When configuring Amazon SES as your SMTP provider:

  1. Use the correct server name from the SMTP Settings page
  2. Use port 465
  3. Use the IAM username and password you created (save these securely)
  4. Use the Amazon AWS root user email address

Setting Up Microsoft Office 365

Even with two-step verification disabled, you might encounter "Authentication unsuccessful" errors. Microsoft now requires explicit SMTP authentication to be enabled for third-party applications.

Frequently Asked Questions

Why is the "Add Service" button missing?
Switch to Agency View, navigate to Sub-accounts, click the three dots next to the account, and select Manage Client. Go to Advanced Settings and ensure "Disable the Add Email Service button in the sub-account Email Services Settings" is turned off.

How many SMTP providers can I have per sub-account?
A sub-account can have multiple SMTP providers, but you cannot use the same SMTP credentials or email ID with different integrations. The same provider (like Gmail) cannot be added twice.
