Connect Your Own Mailgun Email Service to Your Agency

Overview

Your agency's CRM comes with a default, built-in email system for sending messages. If you have an existing Mailgun account with a verified sending domain, you can connect it to your agency account. This allows you to send email using your own infrastructure, domain reputation, and volume limits.

Accessing Email Service Settings

The settings to manage email services are configured at the agency level. To find them:

  1. Log in to your agency account.
  2. Click Settings in the left sidebar.
  3. Select Email Services.
  4. Navigate to the SMTP Service tab (this area may also be labeled Advanced Settings).

Default vs. Custom Email Service

When you connect a custom service like Mailgun, it replaces the default sending system for your entire agency. Here is a brief comparison:

  • Default Service: Uses a shared platform domain and sender reputation. It requires no setup and is suitable for new agencies.
  • Custom Mailgun Service: Uses your own verified domain and sender reputation. Volume is based on your Mailgun plan. This is ideal for agencies with established sending needs.

Important: Activating a custom service affects all outbound email sent from your agency. Ensure your Mailgun domain is fully verified and your API key is ready before proceeding.

Adding Your Mailgun Service

Step 1: Open the SMTP Service Settings

From your agency account, go to Settings > Email Services and open the SMTP Service tab.

Step 2: Add a New Service

Click the + Add Service button in the top-right corner of the page. A pop-up window titled "Add your own email service" will appear.

Step 3: Select Mailgun

In the pop-up, select Mailgun from the list of available email service providers.

Step 4: Enter Your Mailgun Credentials

Fill in the required fields with information from your Mailgun account:

  • API Key: Enter your Mailgun private API key. You can find this in your Mailgun account under Settings > API Keys.
  • Domain: From the dropdown menu, select the verified sending domain you wish to use.

Step 5: Activate the Service

After saving, your new Mailgun service will appear in the list. To start using it, find the service and click Set as Active. Confirm your choice in the prompt that appears.

Your agency will now send all outgoing email through your connected Mailgun account.

Frequently Asked Questions

Does this apply to all my client sub-accounts?

Yes. The custom email service you set as active applies at the agency level and will be the default for all sub-accounts unless an individual sub-account configures its own service.

Where do I find my Mailgun API key?

Log into your Mailgun account and navigate to Settings > API Keys. Your private API key is listed there. Ensure the key has the necessary sending permissions for your domain.

Why isn't my domain showing in the dropdown?

Only domains that are fully verified in your Mailgun account (with all required DNS records like SPF and DKIM in place) will appear in the list. Verify your domain in Mailgun first, then return to this setup.

Can I add multiple Mailgun services?

Yes, you can add multiple services (e.g., for different domains). However, only one service can be marked as Active at a time for agency-level sending.

Can I switch back to the default service?

Yes. Return to Settings > Email Services and set the default CRM Email System as active to revert to the platform's infrastructure.

Will switching services affect scheduled emails?

Emails that are queued or in active workflows will use the newly active service when they are processed. It's best to test your setup during a low-traffic period.

Is there an extra cost?

There is no additional charge from the CRM for using a custom SMTP service. However, standard Mailgun pricing based on your email volume will apply.
