Enabling Email Rebilling for Client Accounts
What is Email Rebilling?
Email Rebilling is a feature that allows agencies to automatically mark up and charge their clients for email usage within the CRM. This creates an additional revenue stream while giving agencies oversight of client email costs and configurations.
This feature is available for agencies on the Pro ($497/$4970) and Unlimited ($297/$2970) plans. For Unlimited plans, rebilling works only with the CRM's built-in SMTP service at a fixed 1.05x markup. To use this feature, the client (sub-account) must have a payment method on file. Once enabled, clients cannot change their SMTP settings.
Common Use Cases
Email Rebilling is useful for:
- Digital marketing agencies charging clients for campaign emails
- Software companies billing for transactional or notification emails
- E-commerce platforms reselling email services to retailers
- CRM providers managing email usage for sales or support teams
- Event management platforms billing for attendee communications
- Online course platforms charging for student notifications
- Membership sites invoicing for member newsletters or reminders
How to Enable Email Rebilling
Prerequisites
Ensure the client account is in SaaS Mode. If not:
- From your agency view, go to Sub-Accounts and search for the client.
- Click the three dots icon and select Switch to SaaS.
- Click the client’s name or the three dots at the bottom right and choose Manage Client.
Configure Rebilling Settings
In the client’s management area:
- Enter your base email cost per message in the Your email cost field. For example, if your SMTP plan costs $35 for 50,000 emails, your cost is $0.0007 per email.
- Scroll to the Email Resell Settings section.
- Use the slider to set your desired markup percentage.
- Click Save to activate rebilling.
Billing for Forwarded Emails
When rebilling is enabled, forwarded emails are charged at the same per-email rate as standard sends. You can track these charges in billing reports by looking for Billing Source Type and Billing Trigger ID fields.
Frequently Asked Questions
Why is the Add Service button missing?
If the Add Service button is not visible, disable email rebilling temporarily to edit SMTP settings. Re-enable it afterward. Note that clients should not use their own SMTP when rebilling is active—only the designated SMTP service is supported.
How do I calculate my email cost?
Log into your SMTP provider’s dashboard, check your plan details to see how many emails are included, and divide your monthly cost by that number. For example, a $35 plan with 50,000 emails gives a cost of $0.0007 per email.
Can I change the default sending domain?
Emails from SaaS Mode clients are sent from your default configured sub-domain. To modify this, adjust your agency’s default sending domain settings.
