How to Use the Email Risk Assessment Tool
About the Email Risk Assessment Tool
The Email Risk Assessment Tool is a feature designed to improve the deliverability of your email marketing campaigns. When you import a list of contacts into your CRM, this tool automatically analyzes the email addresses in the background. It uses bulk verification technology to assess the likelihood that an email will be deliverable, helping you reduce bounce rates and protect your sender reputation.
Understanding Risk Categories
After analysis, each email address is assigned a risk category based on its deliverability status. Understanding these categories helps you manage your contact list effectively.
High Risk
Addresses in this category are very likely to be undeliverable. Common reasons include a non-existent email account, a domain with no mail server records, or a recipient's mailbox that is full.
Medium Risk
Addresses in this category have an uncertain deliverability status. This can occur if the receiving server gave an ambiguous response, the domain is configured as a "catch-all" server, or the address appears randomly generated.
Low Risk
Addresses in this category are likely to be deliverable. The receiving server responded positively to the verification request, and the address is properly formatted with a legitimate domain.
Unknown Risk
Addresses in this category could not be verified due to temporary errors, such as issues with the recipient's email server. Their deliverability status remains uncertain unless they are verified again at a later time.
How the Tool Works
The process is automatic and triggered by a contact import.
- Import Your List: Upload a CSV file containing contacts to your CRM.
- Automatic Analysis: If your account is configured to use the platform's built-in email sending system and you have not yet enabled the individual email verification feature, the system will automatically scan the imported email addresses.
- Receive Your Results: Once the scan is complete, a notification popup will appear in your CRM. An email with the detailed risk analysis will also be sent to your account's team members. This report breaks down the percentage of addresses that are deliverable and those flagged as high risk.
- Take Action: Both the popup and the email will recommend that you enable the full Email Verification feature. Activating this feature prevents the system from attempting to send emails to any address marked as invalid, further safeguarding your campaigns.
