Using Quiz Results to Populate Contact Custom Fields
Connecting Quiz Data to Contact Records
When a contact completes a quiz, the results—like their score or category tiers—can be automatically saved to custom fields in their CRM profile. This feature transforms quiz answers into permanent, structured data points for each contact. Instead of manually reviewing each submission, the CRM can directly store the outcomes, making the information readily available for segmentation, personalized communication, and automated workflows.
Benefits of Mapping Quiz Results
Mapping quiz results to contact fields offers several key advantages for managing your data and outreach.
- Automatic Field Creation: The system automatically generates a set of custom fields for a quiz when you first enable the feature. You don't need to create these fields manually.
- Structured Data: Quiz scores, tiers, and category details are stored in a consistent, searchable format within each contact's record.
- Real-Time Updates: If a contact retakes the same quiz, their existing field data is updated with their latest results, preventing duplicate entries.
- Automation Ready: The populated fields can be used as conditions in workflows, for personalizing emails or SMS, and for creating targeted contact lists.
Understanding the Generated Fields
When enabled, the system creates contact custom fields based on your quiz's structure. The field names follow a clear pattern to help you identify the data.
- Fields are created for the overall quiz score and its corresponding tier (e.g., Beginner, Advanced).
- Separate fields are created for the score and tier of each individual category within the quiz.
- Fields are also generated to identify the contact's highest-scoring and lowest-scoring categories.
Score values are stored as number fields, while tier and category names are stored as text fields. This standard format ensures compatibility with all the CRM's filtering and personalization tools.
How to Set Up the Mapping
Step 1: Access Your Quiz
Navigate to the Quizzes section within your CRM's Sites area. Select an existing quiz you wish to configure or create a new one.
Step 2: Edit the Results Template
Within the quiz builder, scroll to the Results Template section at the end of the quiz and click to edit it.
Step 3: Enable Custom Field Sync
Click the Settings button, usually located in the upper-right corner of the results template editor. Find and expand the Custom Fields dropdown menu. Here you will see a list of auto-generated fields corresponding to your quiz's results.
Toggle on the switches for the specific data points you want to save to contact records, such as the Overall Score, Overall Tier, or individual Category Scores. The system assigns a unique name and key to each field. Click Save to confirm your selections.
Step 4: Data Capture on Submission
Once configured, the process is automatic. When a contact submits the quiz, the data for the fields you enabled is written to their contact profile. If they retake the quiz later, the values in these fields are simply overwritten with the new results.
Using the Data in Your CRM
With quiz results stored in contact fields, you can leverage this data in several powerful ways.
- Create Smart Lists: Build segments of contacts based on their quiz performance. For example, create a list of all contacts with an "Overall Score" greater than 75, or whose "Marketing Tier" is "Expert."
- Personalize Workflows: Trigger different automated email or SMS sequences based on a contact's results. You could send a specific guide to contacts whose "Lowest Category" was "Nutrition" or enroll contacts in a beginner course if their score is below a certain threshold.
- Dynamic Content: Use the field values as merge tags to personalize follow-up messages, referencing a contact's specific score or achieved tier.
Common Questions
Can I rename the auto-generated fields?
Yes, you can rename these custom fields or organize them into field groups within your CRM's contact field settings. However, deleting a field will remove that quiz data from all contact records.
Does this work with quizzes I created before enabling this feature?
Yes. Once you enable the custom field toggles in an existing quiz's settings, the fields will be created and populated the next time a contact submits that quiz.
Where is this data stored?
The quiz results are saved as Contact Custom Fields. This makes the data accessible anywhere contact fields are used, including forms, smart lists, workflows, and contact record exports.
