Import Data from HubSpot

Overview

The HubSpot Importer tool allows you to transfer essential CRM data from HubSpot directly into your CRM platform. This guide explains how to import contacts, deals, custom fields, pipelines, and other related data, and how to review the results to identify and resolve any issues. Please note that this feature is currently in beta and may not be available for all accounts. If you do not see the Import from HubSpot option, it may not be enabled for your account.

Before You Begin

To ensure a smooth import process, consider the following:

  • Use a clean account if possible to minimize errors and duplicates.
  • Enable the Allow duplicates setting for both contacts and opportunities before starting. You can re-enable deduplication after the import is complete.
  • The import runs in the background, so you can close the window and return later to check progress.
  • It is recommended to use English as the account language and test imports in a non-production environment first.

Supported Data Types

The HubSpot Importer currently supports the following data:

  • Contacts
  • Opportunities (imported from HubSpot Deals)
  • Custom Fields (from HubSpot Properties)
  • Custom Folders
  • Pipelines and Stages
  • Notes
  • Tasks

Other HubSpot objects, such as Companies, Tickets, Engagements, and Workflows, are not yet supported.

Limitations and Considerations

Be aware of the following limitations:

  • Pipelines and stages are imported, but an opportunity can be associated with up to 10 additional contacts.
  • Custom field mapping is based on field keys; conflicts with existing fields may cause import failures.
  • File attachments are supported for contacts and opportunities.
  • Recurring tasks are not supported.
  • Some associations may not import due to platform limits, so validate critical associations after migration.
  • Imported emails from HubSpot will be read-only.

How to Use the HubSpot Importer

Step 1: Open Import Data

From the Contacts or Opportunities section, open the Import menu in the top-right corner and select Import data.

Step 2: Select HubSpot Import

Click Connect HubSpot in the right card to begin the HubSpot import process.

Step 3: Authenticate Your HubSpot Account

Log in to your HubSpot account to authenticate and grant access.

Step 4: Review Quick Tips

After verification, the import wizard opens. Review the tips provided, such as cleaning up duplicates in HubSpot, backing up current data, and reviewing field mappings. Click Continue when ready.

Step 5: Select What to Import

Choose which HubSpot objects to import:

  • Contacts: People you track, such as leads, customers, and prospects.
  • Tasks: To-dos, follow-ups, and reminders linked to records.
  • Deals: Pipeline value and status (imported as opportunities). Note that importing deals requires contacts; contacts will be auto-selected if you choose deals.

Select the desired objects and click Continue.

Step 6: Review Included Data

The wizard automatically includes related data needed to keep your records complete. Review the selections before proceeding.
