We have updated our Terms of Service and Privacy Policy to provide greater clarity and enhance our service. These changes will become effective on September 22, 2025. This article summarizes the key updates and what they mean for you as a user of the CRM.
Terms of Service Updates
Your Data Privacy Responsibilities
We have clarified that when you use the CRM to collect and manage your clients' data, you are responsible for complying with applicable privacy laws, such as GDPR and CCPA. This means you must ensure you have proper consent from your clients and adhere to relevant regulations when gathering their information through our platform. Guidelines for AI Features
A new AI Policy has been added, which explains how our AI tools function and outlines guidelines for their responsible use. When utilizing AI features, it is important to review the generated output before sharing it with clients. While these tools are powerful, they are not infallible, and human oversight is essential.
Domain Name Management
Our platform can now manage domain names purchased through it, including the resolution of disputes like trademark complaints. If a complaint is filed regarding a domain you purchased via the CRM, we will handle the associated legal process and make decisions to resolve the matter efficiently.
HIPAA Add-On Requirements
For accounts with HIPAA compliance enabled, the Business Associate Agreement (BAA) is now linked to maintaining an active paid subscription to our HIPAA package. You must keep this subscription active for the BAA to remain in effect. If your HIPAA package subscription lapses, your BAA with us may expire automatically.
Tax Calculation Terms
Specific terms have been added regarding our tax calculation features. Please note that when you use these features, the CRM connects you to third-party tax calculation services. You remain responsible for ensuring your business and clients are compliant with all relevant tax laws.
Privacy Policy Updates
Our Role in Data Handling
We have provided clearer distinctions regarding when the CRM acts as a data processor (handling data on your behalf) versus when we act as the data controller (responsible for our own data collection practices).
California Privacy Law
We have clarified that, under California law, certain standard business practices—such as affiliate marketing and the use of advertising pixels—may be broadly defined as "sharing" or "selling" data. This clarification does not reflect a change in how we handle your data; it is an acknowledgment of the specific, broad definitions within California's privacy legislation.
Affiliate Program
We have clarified that when you sign up for the CRM through an affiliate link, we share basic information with that affiliate. This is standard practice for affiliate programs and enables us to reward individuals who refer new users to our platform.
Updates to Subprocessors
We have added three new AI service providers—Retell AI, Synthflow, and Botpress—to our list of subprocessors. These partners help power specific AI features within the CRM, enabling enhanced capabilities such as voice AI, conversational flows, and chatbot functionality. All data processing conducted by these providers adheres to the strict protections outlined in our agreements, and their role is limited to supporting the specific AI features you opt to use.
