How to Schedule Service Appointments Using the Mobile App

What Are Service Appointments in the Mobile App?

Service appointments in the CRM mobile app enable your team to create and manage detailed, service-based bookings directly from a smartphone. This feature mirrors the full functionality available on the web, allowing staff to select services, variations, add-ons, assign team members, and check real-time availability—all within a streamlined mobile interface. It's designed for on-the-go scheduling, whether at a front desk, in the field, or while coordinating remotely.

Key Benefits of Mobile Service Appointments

  • Book from anywhere: Create or update appointments without needing a desktop.
  • Multi-service support: Combine several services into a single booking with a consolidated summary.

  • Real-time availability: Time slots reflect staff hours, holidays, and custom availability rules.
  • Filtered calendar views: View appointments filtered by specific services in month, week, or list format.

Supported Booking Features

Multi-Location Support

If your business operates across multiple locations, the booking flow will only show locations where staff are available, ensuring viable scheduling.

Service Variations

Services with configured variations (e.g., different durations or prices) are fully selectable during mobile booking.

Add-Ons

Optional add-ons appear during booking, including those that allow multiple quantities.

Staff-Specific Pricing

Prices adjust automatically based on the staff member selected, if staff-specific pricing is enabled.

Date-Specific Staff Hours

Special hours, holidays, or one-off availability changes are respected in the time slot picker to prevent overbooking.

Multi-Service Checkout

Add multiple services to one appointment. Workflow automations can trigger per booking using the Service Booking trigger.

Multi-Service Calendar Filtering

Filter calendar views by one or more services simultaneously to focus on relevant appointments.

How to Book a Service Appointment

Open the Calendar Module

From the mobile app, navigate to the Calendar tab and tap the + (plus) button. Then select New Service Appointment.

Select Contact and Location

First, search for and choose a contact (customer) for the booking. If you have multiple locations, you'll then select the desired location for the appointment.

Choose Services

Browse or search through available services and select the ones you want to include in the booking.

Select Variants & Add-Ons

Pick a variant (e.g., duration or pricing option) for each service. Add any optional add-ons, specifying quantities if applicable.

Assign Staff

Select a team member for each service. Pricing will update automatically if staff-specific rates are configured.

Apply Coupons (Optional)

Enter a valid coupon or promo code to apply discounts to the booking.

Pick a Time Slot

View real-time availability based on staff and service selections. You can also choose a custom time if enabled.

Confirm & Schedule Booking

Review all details—services, staff, pricing, and discounts—then tap Schedule Booking to finalize.

View Booking Summary

After scheduling, you'll see a summary with customer details, service breakdown, duration, pricing, and discount information.

Accessing Existing Service Appointments

To view appointments filtered by service:

  1. Go to the Calendar tab in the mobile app.
  2. At the top of the calendar, tap on the colored labels representing selected services.
  3. In the filter modal, go to the Calendars tab and tap Services.
  4. Select one or more services from the list (use the search bar if needed).
  5. The calendar will update to show only appointments related to the chosen services.

Appointment Title Auto-Fill

The appointment title field automatically pre-fills based on your global service booking title settings. If no custom title is configured, it defaults to the contact's name. Note: This applies only to new bookings; edit, reschedule, and duplicate flows are not affected.
