Using Custom Fields to Enhance Your Opportunity Management

What Are Custom Fields for Opportunities?

Custom fields for opportunities are a powerful feature that lets you extend the standard data your CRM tracks. They allow you to define and capture information that is uniquely important to your sales process, such as specific client requirements, project deadlines, or internal scoring metrics. By creating these tailored fields, you can ensure your opportunity records contain all the details your team needs to manage deals effectively.

Key Advantages of Using Custom Fields

Incorporating custom fields into your opportunity management provides significant benefits that streamline your workflow and provide deeper insights.

  • Enhanced Personalization: Track data points that are critical to your specific business model and sales cycle.
  • Improved Organization: Group related fields into folders to keep your opportunity views clean and logical.
  • Increased Efficiency: Use the option to hide empty fields, ensuring your team only sees relevant information.
  • Deeper Reporting: Include custom field data in reports and dashboards for more meaningful sales analysis.
  • Powerful Filtering: Quickly sort and prioritize your pipeline by filtering opportunities based on your custom criteria.
  • Workflow Automation: Trigger actions and populate data in automated sequences using the values from your custom fields.

How to Create and Manage Custom Fields

Accessing the Custom Fields Dashboard

You can reach the area for managing custom fields in two ways:

  • Via Settings: Navigate to the main Settings menu from your CRM dashboard and select Custom Fields.
  • Via an Opportunity: Open any existing opportunity and click the Add/Manage Fields button. This will direct you to the same management dashboard.

Creating a New Custom Field

To add a new field that will appear in your opportunity records, follow these steps:

  1. From the Custom Fields dashboard, click the + Add Field button.
  2. Select the type of field you want to create from the available options, which include:
    • Text Inputs: For single lines of text, paragraphs, or lists.
    • Value Fields: For numbers, phone numbers, or monetary amounts.
    • Choice Fields: For dropdown menus, radio buttons, or checkboxes.
    • Date/Time: For selecting dates.
    • Other: For file uploads or collecting signatures.
  3. Click Next to proceed to the configuration screen.
  4. Provide a Name for the field that will be displayed to users.
  5. It is crucial to set the Object to Opportunity to ensure the field appears in your sales pipeline.
  6. You can also assign the field to a Group (folder) and add optional Placeholder text.
  7. Click Save to create the field. It will now be available for use across all opportunities.

Important: If you accidentally assign the field to the Contact object, it will not appear within your opportunity records.

Creating a Folder to Organize Fields

Folders help you categorize your custom fields, making them easier to find and manage.

  1. On the Custom Fields dashboard, click the Add Folder button.
  2. Enter a clear and descriptive name for the folder, such as "Financials" or "Project Specifications".
  3. Once created, you can assign new or existing fields to this folder to keep your workspace organized.

Using Custom Fields in the Opportunities Dashboard

After creating custom fields, they will appear within your individual opportunity records for data entry. You can also configure these fields to display on the opportunity cards within your pipeline view, providing a quick, at-a-glance summary of key information for each deal.
