How to Manage Sales Receipts for Order Forms, Calendar Bookings, and Invoice Payments

Enabling Sales Receipts

Sales receipts provide customers with documented proof of their purchases and help both businesses and clients maintain accurate records. The CRM offers an Automatic Receipts feature to streamline this process.

To enable automatic sales receipts:

  1. Navigate to Payments in the left sidebar.
  2. Click Settings at the top of the page.
  3. Select the Receipts tab.
  4. Toggle Enable automatic sales receipts for payments to ON.
  5. Click Save.

Once enabled, receipts will be automatically sent for payments made through order forms (including primary, bump, and upsell purchases on both 1-step and 2-step forms), calendar appointment bookings, subscriptions, and invoice payments.

Customizing Your Sales Receipts

You can personalize your receipts to align with your brand identity using several customization options:

Custom Title

Modify the title of your receipt to add a personal or branded touch.

Receipt Numbers

Assign a prefix and set an initial number for your receipts to help organize and track transactions systematically.

Email Template

Customize the email template used to send receipts. Use the built-in email builder to adjust content, layout, and branding elements to create a consistent and professional experience.

Delivery of Receipts

Receipts are delivered as downloadable PDF attachments via email directly to the contact’s email address immediately after a successful payment. This method ensures customers can easily access and save their receipts.

Leveraging Custom Templates

For further customization, you can create and use custom email templates when sending receipts. These templates support custom values available in the email builder, allowing you to design visually appealing and branded receipts that reflect your business’s unique style.

Frequently Asked Questions

Can I enable automatic receipts only for certain payment types?

No. Enabling automatic receipts applies to all payments made through order forms, calendar bookings, and invoices. To send receipts selectively, disable automatic receipts and send them manually for specific transactions.

Can I add custom fields or personalized messages to sales receipts?

Sales receipts themselves do not support custom fields or personalized messages beyond standard transaction details. However, you can customize the accompanying email template to include general messages or branding.

Are receipts sent immediately after payment?

Yes. Receipts are sent automatically as soon as a payment is successfully processed. Delivery may occasionally be delayed due to external email factors.

How can I verify if a receipt was delivered?

Check the Email Reporting section under Marketing > Emails > Email Reporting. Use filters to search by recipient email or subject line to view delivery status, including whether the email was delivered, opened, or bounced.

How do I disable automatic receipts?

To disable automatic receipts:

  1. Go to Payments > Settings > Receipts.
  2. Toggle Enable automatic sales receipts for payments to OFF.
  3. Click Save.

Can I edit or reset receipt numbers?

No. Receipt numbers are automatically generated and must always be higher than the last number used. They cannot be edited, reset, or overwritten.

If I disable automatic receipts, will payment records still be kept?

Yes. Disabling automatic receipts only stops email delivery. All successful payments are still recorded under the Transactions tab for internal record-keeping.

Does this setting affect both one-time and recurring payments?

Yes. Disabling automatic receipts stops email delivery for all transaction types processed through your connected payment gateways.
