Porting Phone Numbers to Your CRM Location
This guide explains how to transfer your existing phone number from another carrier to your CRM location (sub-account). You'll learn about the required documentation, how to submit a port request, and what to expect during the transfer process.
What is Phone Number Porting?
Phone number porting is the process of transferring a phone number from one telecommunications provider to another. This allows you to keep your existing business number while switching to CRM's phone system. The process requires proper documentation to prove ownership and authorization for the transfer.
Prerequisites for Porting
Before starting the porting process, gather these required items:
- Your CRM Location ID (the sub-account where the number will be hosted)
- Account details from your current carrier (account number, PIN or last 4 digits of SSN for wireless numbers)
- A recent phone bill in PDF format (must be legible)
- Letter of Authorization (LOA) signed by the account holder
- Customer Service Record from your current carrier
Important Notes:
- Wireless numbers require a PIN - incorrect PINs will cause rejection
- Verify your PIN with your current provider to avoid delays
- For multiple numbers, check if each requires a unique PIN
- Landline and toll-free numbers may not need a PIN
- Name and address must match your carrier records exactly
- PO Boxes are not accepted as service addresses
Billing Statement Requirements
Your billing statement must be no older than 90 days and clearly show:
- Phone number(s) being ported
- Account owner name
- Provider name
For Google Voice numbers, provide a screenshot showing the phone numbers and associated email address. For landline or VoIP numbers, provide the latest monthly billing statement or a receipt/account portal screenshot if no bill is available.
Choosing Your Destination Carrier
Determine which phone system your location uses by going to Settings → Phone System in your CRM location:
- CRM Phone System - Choose this if you see CRM branding and want CRM to host your number
- External Carrier - Choose this if your location is connected to your own external carrier account
Porting Methods
There are two ways to submit a US port request:
Option A: In-App Porting (US Numbers Only)
Available to agency owners and administrators, this option allows you to submit and track port requests directly within the CRM platform.
How to Access:
- Submit new requests: Phone System → Phone Numbers → Add Number → Port-in Numbers
- Track existing requests: Phone System → Phone Numbers → Port-In Numbers tab
Step 1: Agreement Checklist
Review and acknowledge the porting terms including applicable rates, required number activation during transfer, potential messaging downtime (up to 3 days), and possible termination charges from your current carrier.
Step 2: Number Entry
Enter your account number with the current carrier. For landline numbers, list multiple numbers separated by commas. For wireless numbers, enter each number with its PIN or last 4 digits of the account holder's SSN. Use the + Add New Number option for additional wireless numbers.
Step 3: Additional Details
- Port request name (optional internal reference)
- Account type (Residential or Business)
- Contact name (account holder)
- Authorized email (for digital signature of LOA)
- Full address including street, city, state, and postal code
Step 4: Document Upload
Upload your current carrier billing statement in PDF or image format (maximum 10MB per file). Multiple documents can be uploaded if needed.
Option B: Manual Port Request via Form
For international numbers or locations without in-app porting access, use the manual process.
Step 1: Gather Documents
Collect all required documents including LOA, billing statement, and customer service record.
Step 2: Complete the Porting Form
Fill out the porting form with all required information and upload your documents.
Step 3: Approval & FOC
After submission, your request will be reviewed. You'll receive a Firm Order Commitment (FOC) date when the port is scheduled.
After the Port
The porting process typically takes 2-4 weeks for fewer than 50 numbers, and 6-8 weeks for larger, more complex ports. During this time, you'll maintain full access to your phone number with no downtime.
