How to Set Up Recurring Webinars

About Recurring Webinars

Recurring Webinars allow you to schedule a series of live sessions from a single webinar setup. Instead of manually creating a new event for each date, you define a repeating schedule once. The CRM will then automatically generate all future sessions, manage a single registration link for the entire series, and update the broadcast page to always show the next upcoming event.

This feature is ideal for turning a one-time presentation into an ongoing program, such as weekly training, monthly demos, or regular workshops.

Key Advantages

  • Save Time: Eliminate the need to duplicate webinars for each session.
  • Simplify for Attendees: Provide one consistent registration link and broadcast page for the entire series.
  • Build Consistency: Create predictable, habit-forming schedules for your audience.
  • Flexible Scheduling: Choose from daily, weekly, monthly, or custom patterns to fit your needs.
  • Evergreen Option: Use the "No Fixed Time" setting to create an always-available, on-demand replay.

Setting Up a Recurring Webinar

Step 1: Access Webinars

Go to SitesWebinars. Click + New Webinar Funnel or open an existing webinar to edit.

Step 2: Enable the Recurring Feature

After entering your basic webinar details, find and turn on the Enable recurring webinar toggle switch. This will reveal the scheduling options.

Step 3: Select a Frequency

Choose how often your webinar repeats. The main options are:

  • Daily: Repeat every specified number of days.
  • Weekly: Repeat every specified number of weeks on chosen days (e.g., every Tuesday and Thursday).
  • Monthly: Repeat on a specific calendar date (e.g., the 15th) or a relative day (e.g., the second Monday).
  • No Fixed Time: Creates an evergreen, on-demand webinar available at any time.

Step 4: Configure the Pattern

Based on your chosen frequency, configure the specific details. For example, if you selected "Weekly," you would specify which day(s) of the week the event occurs.

Step 5: Set an End Condition

Define when the series stops. You can set it to end after a specific number of sessions or on a particular calendar date.

How the Broadcast Page Works

A single broadcast page URL is used for the entire webinar series. Its content updates automatically:

  • Before a Session: The page displays a countdown to the next live event.
  • During a Session: The page streams the live webinar.
  • Between Sessions: The page shows a message indicating when the next session will begin.

This keeps your marketing links permanent and functional.

Common Questions

Do people need to register for each session?

No. A single registration enrolls a contact for all future sessions in the series. Reminder emails will be sent for their next upcoming event.

Can I change the schedule after starting?

Yes. You can edit the recurrence pattern. Changes will apply to all future sessions that have not yet occurred, and existing registrants will be automatically updated.

How do reminder emails work?

The standard webinar reminder system automatically adjusts to send notifications for the next scheduled occurrence in the series. You can further customize this timing within Workflows.

What is the "No Fixed Time" option?

This setting creates an on-demand, evergreen webinar. When a registrant visits the broadcast page, they can immediately watch a pre-recorded session instead of waiting for a scheduled live time.

Can I combine live and pre-recorded sessions in one series?

No, a single recurring webinar is configured for either all live sessions or the "No Fixed Time" on-demand format. To mix formats, you would need to create separate webinars or share replay links through follow-up automation.
