How to Issue and Send a Gift Card

Overview of Gift Card Issuance

Your CRM allows you to issue a prepaid gift card directly to a customer without requiring them to make a purchase. This creates a credit that the recipient can redeem on any checkout within your system that accepts gift cards. This feature is useful for customer rewards, service recovery, promotions, or internal testing.

Before You Begin

Ensure you have the following set up before sending a gift card:

  • An active Gift Card product has been created in your CRM.
  • You have the intended recipient's email address or phone number in their contact record.

Sending a Gift Card

Step 1: Access the Gift Card Feature

Navigate to Payments and then select Gift Cards. On the list of all gift cards, find the specific gift card product you wish to send and click its Send button.

Step 2: Select a Recipient

Choose an existing contact from your list or add a new contact to be the gift card recipient. You will need to provide either an email address or a phone number for delivery. Click Continue to proceed.

Step 3: Add a Personal Message

You can write a custom greeting or note for the recipient. Optionally, you can select from pre-written messages or use an AI tool to generate one. Click Continue when finished.

Step 4: Choose the Amount

Select the gift card's value from the preset denominations configured for that gift card product.

Step 5: Select a Delivery Method

Choose how to deliver the gift card. The available methods depend on the contact information you have:

  • Email: Sends a visual gift card with artwork and a redemption link.
  • SMS: Sends a text message containing the gift card link.
  • PDF (via Email): Sends an email with a downloadable, printable PDF of the gift card.
  • QR Code (via Email): Sends an email containing a scannable QR code that links to the gift card.

Step 6: Schedule the Delivery

You can send the gift card immediately or schedule it for a future date. If the gift card product has an expiry date, you can only schedule delivery for a date on or before that expiry. You can use quick options like "Tomorrow" or "After one week," or pick a custom date.

Step 7: Review and Send

A final screen will show a preview of the message the recipient will receive, including the amount, your personal message, expiry details, and redemption instructions. Review all details and click Send Gift Card to complete the process.

What Happens After Sending

Once sent, the issued gift card will appear in Payments → Gift Cards → Gift Card Orders. Here you can view details such as the recipient, delivery method, timestamp, denomination, remaining balance, and status. The unique gift card code is hidden for security.

Important: Gift cards sent via this direct method do not create a standard order or transaction record under Payments → Orders.

Key Points and Limitations

  • This feature only works in Live Mode; it is not available in Test Mode.
  • You can send one gift card to one recipient at a time. Bulk sending is not currently supported.
  • No payment is processed during the send flow; you are issuing a credit directly.
  • The recipient can redeem the full amount or use it partially on any supported checkout.
  • A scheduled gift card will be delivered at midnight (12:00 AM) on the chosen date.
