Automating Lead Assignment and Notifications for Affiliate Manager Workflows
Streamline your affiliate program by using workflows to automatically handle new leads. You can ensure leads are correctly assigned to the responsible affiliate and trigger immediate notifications, keeping everyone informed and motivated.
Using the "Lead Created" Trigger
The Lead Created trigger activates a workflow whenever a new lead is generated through an affiliate's referral. This provides a foundation for automating your response to new opportunities.
To set up this trigger:
- Navigate to Workflows and click + Create Workflow.
- Set the trigger to Lead Created.
- Optionally, use the Campaign Filter to restrict the workflow to leads from a specific campaign.
- Add actions to the workflow, such as sending an email to the affiliate or notifying an internal team.
- When creating emails or messages, you can use custom values made available from the Lead Created trigger.
- Save and publish the workflow.
Potential applications include:
- Sending a congratulatory email to an affiliate when they refer a new lead.
- Alerting your sales team immediately about a new lead for prompt follow-up.
- Automatically applying tags to affiliate-generated leads for targeted nurturing campaigns.
Using the "Add Leads under an Affiliate" Action
The Add Leads under an Affiliate action is used to assign a contact (lead) to a specific affiliate and their campaign, ensuring proper credit is given. This action offers three different methods for assignment.
To use this action:
- Within your workflow, add the Add Leads under an Affiliate action.
- Select your preferred assignment method: Manual, Auto (Attribution), or Custom Mapping.
- Configure the additional settings that appear based on the method you selected.
- Save and publish the workflow.
Assignment Methods
1. Manual Assignment
This method allows you to manually select which affiliate and campaign the lead should be assigned to.
- Best for: Form submissions, internal lead routing, or situations requiring an administrator's decision.
- Steps: After selecting the Manual method, you will choose a campaign and then select an affiliate from the list of affiliates associated with that campaign.
2. Auto (Attribution via URL)
This method automatically assigns the lead to an affiliate based on an am_id parameter present in the URL that the lead clicked.
- Best for: Automating assignment when affiliates share unique tracking links.
- Steps: Choose an attribution method (First Click or Last Click). The system will use the
am_idpassed in the URL parameters from the funnel, such as on a form or page.
3. Custom Mapping
Use this method if the affiliate ID is stored in a custom contact field or passed into the workflow as a value from a previous step.
- Best for: Leads coming from API integrations, third-party systems, or forms with hidden fields.
- Steps: Choose the mapping source, which can be a custom field or a workflow value. The system will read the value and assign the lead to the affiliate with a matching ID.
