Using the Create Associated Record Action in Contact Workflows

Overview

The Create Associated Record for Contact action is a powerful tool within contact-based workflows. It allows you to automatically generate a new record for a custom object and immediately link it to the contact that triggered the workflow. This is ideal for managing related information, such as job estimates, service appointments, project files, or any other custom data structure you've defined.

Action Details

This action is only available if you have first created custom objects in your sub-account and have established at least one association label linking a custom object type to contacts.

When configuring the action, you will select which custom object record to create. You can then populate its various fields with static values, merge tags from the contact or workflow, or use custom values. A critical step is selecting the Association Label. This defines the type of relationship (e.g., "Primary Property," "Active Project," "Upcoming Appointment") that connects the new custom object record to the contact. The system will use this label to create the link automatically.

Example Use Case

Consider a home service company that needs to track key phases of a project. When a contact's opportunity status changes to "Closed Won," you can automate the creation of a "Project" record.

  • Object to Create: Project
  • Fields to Populate: Project Start Date (set to a date 7 days from now) and Project Manager (assigned using a merge field or fixed value).
  • Association Label: "Active Installation"

The workflow would then generate the Project record, fill in the details, and associate it with the customer's contact profile under the "Active Installation" relationship for easy tracking and management.
