Using the Pipeline Stage Changed Workflow Trigger
About the Pipeline Stage Changed Trigger
This workflow trigger activates when an opportunity moves from one stage to another within your sales pipeline. It is designed to automate actions based on that progression, helping you maintain timely follow-ups and consistent process management without manual oversight.
Key Advantages
Incorporating this trigger into your automations offers several benefits for managing your sales pipeline:
- Automated Engagement: Initiate emails, tasks, or notifications the moment a deal advances or changes stage.
- Reduced Manual Tracking: Eliminate the need to constantly monitor pipeline movements for follow-up.
- Process Consistency: Ensure every opportunity receives the same attention at critical points in the sales journey.
- Targeted Automation: Use filters to run workflows only for specific pipelines, stages, assigned users, or deal values.
How to Set Up the Trigger
Access the Workflow Builder
Navigate to Automation > Workflows from your main CRM dashboard. Click Create New Workflow to start a new automation or edit an existing one.
Add the Trigger
Inside the workflow builder, click + Add New Trigger. Search for and select Pipeline Stage Changed from the list of available triggers.
Name Your Trigger
Give the trigger a clear, descriptive name. This helps you identify its purpose later when managing multiple workflows.
Configure Filters (Optional)
Filters allow you to control exactly when this workflow runs, ensuring it only activates for the opportunities that meet your specific criteria.
- In Pipeline: Restrict the trigger to opportunities within a single, selected sales pipeline.
- Pipeline Stage: Activate the workflow only when an opportunity moves to or from a specific pipeline stage.
- Assigned To: Run the workflow only for opportunities assigned to a particular user or team member.
- Lead Value: Trigger automation based on the monetary value of the opportunity, such as deals over or under a set amount.
- Tag: Activate the workflow only for opportunities that have a specific tag applied to them.
- Lost Reason: If an opportunity is marked as lost, you can trigger actions based on the specific reason selected for the loss.
After configuring your trigger and any desired filters, you can proceed to add the subsequent actions you want your workflow to perform.
