Workflow Action - Send Email
What is the Send Email Workflow Action?
The Send Email action enables you to automatically send personalized emails to contacts at specific points within your workflow. This feature is essential for automating communications like appointment confirmations, promotional messages, or customer follow-ups, ensuring timely and relevant engagement.
Key Benefits of Using the Send Email Action
- Timely Automation: Emails are sent automatically based on workflow triggers, eliminating manual effort.
- Personalization: Use dynamic fields to insert contact-specific details such as names, dates, or custom data.
- Enhanced Customer Experience: Automated confirmations and reminders improve clarity and satisfaction.
- Efficiency: Save time by using templates and reducing repetitive manual tasks.
- Flexibility: Attach files, use templates, or create custom content to meet your needs.
Step-by-Step Process for Using the Send Email Action
1. Add the Action to Your Workflow
In the workflow editor, drag the Send Email action to the desired location, such as after a trigger like a form submission or appointment booking.
2. Name the Action
Assign a descriptive name, like “Appointment Confirmation,” to easily identify it later.
3. Set Sender Details
Enter the From Name (e.g., your company name) and From Email address that recipients will see.
4. Create the Subject Line
Write a clear and concise subject that summarizes the email’s purpose.
5. Compose the Email Body
Select an existing template from the dropdown or write custom content. Use merge fields (e.g., {{contact.first_name}}) for personalization. If using a template, note the Sync Edits to Template checkbox, which determines whether changes sync back to the original template.
6. Add Attachments (Optional)
Attach files such as PDFs, images, or documents if needed.
7. Test the Email
Enter an email address in the Test Emails field and click Send Test Mail to verify content and formatting.
8. Save the Action
Click Save Action to activate. The email will send automatically when the workflow reaches this step.
9. Use CC/BCC (Optional)
Click the CC or BCC buttons to add fields for carbon copy or blind carbon copy recipients.
Example: Sending a Booking Confirmation
Trigger: Appointment booked
Action: Send Email
From Name: My Business
From Email: info@mybusiness.com
Subject: Your Appointment Confirmation
Body: Hi {{contact.first_name}}, thank you for booking! Your appointment is on {{appointment.start_time}}.
Test: Send a test email to check formatting.
Save: Activate the action.
Troubleshooting Tips
- If an email doesn’t send, verify the contact’s email address and sender setup.

- Test emails to catch formatting issues across different email clients.
Best Practices
- Keep subject lines short and relevant.
- Use templates for brand consistency.
