Configuring the Appointment Status Workflow Trigger

Step 1: Access Workflow Builder

Go to the Automation section in your CRM, select Workflows, and click to create a new workflow or edit an existing one.

Step 2: Add Appointment Status Trigger

Click Add New Trigger, search for "Appointment Status," and select it from the list.

Step 3: Name the Trigger

Give your trigger a clear, descriptive name that reflects its purpose, such as "Appointment Follow-Up Trigger" or "Canceled Appointment Alert," to keep your workflows organized.

Step 4: Choose Workflow Enrollment

Under "Who should be enrolled into the workflow?", select one of the following options:

  • Contact only: Enrolls only the primary appointment contact (default).
  • Contact and Guests: Enrolls both the primary contact and all guests, executing the workflow separately for each.
  • Guests only: Enrolls only guest contacts, excluding the primary contact.

Choose the option that aligns with your automation goals.

Step 5: Set Up the Filters

Filters allow you to refine when the trigger activates. Configure the following filters as needed:

Filter By Event Type

Specify which appointment types should trigger the workflow:

  • Any: Includes all appointment types.
  • Normal: Triggers only for non-recurring appointments.
  • Recurring: Activates for repeating appointments.

Filter By Appointment Status

Trigger workflows based on specific status changes:

  • New: When a new appointment is scheduled.
  • Confirmed: When an appointment is confirmed.
  • Cancelled: If the appointment is canceled.
  • Showed: When the client attends.
  • No-show: If the client does not attend.
  • Invalid: If the appointment is marked invalid.

Filter By Tag

Activate the workflow only for contacts with a specific tag assigned in the CRM. Select the desired tag from the dropdown to ensure targeted automation.

In Calendar Filter

Trigger workflows based on appointments in a specific calendar.

In Calendar Group Filter

Activate the workflow for appointments within a particular calendar group, useful for managing multiple calendars under a unified group (e.g., departments or teams).

Only for Grouped Calendar

Specify whether the trigger should activate exclusively for grouped calendars or apply to both individual and grouped calendars. Select "Yes" to limit it to grouped calendars.

Step 6: Saving and Activating the Trigger

After configuring your filters, save the trigger and activate your workflow to start automating based on appointment status changes.
